Before posting your first job, you need to enable certain features. For a quick and ideal setup, we recommend following the steps outlined in this article.
You may already have set up some of the features, and some may be more relevant than others. This article is intended only as a guide.
Step 1: Get started in the Recruiting settings
Before starting your recruiting process, you need to configure certain settings. This section outlines these requirements.
Set up candidate communication via email
This allows you to send and receive candidate emails from within Personio. This way, you can centralize all email communications.
There are two options for communicating with candidates via Personio. You can:
- Use the Personio email service option (default).
- Set up a connection using our Google integration, Microsoft integration, or SMTP. The benefit of this option is that your company’s own recruiting email address appears as the sender.

Set up your career page
You need a suitable career page where you can publish jobs you create in Personio. There are different options to suit your needs:
- If you don’t already have a corporate career page: You can create a Personio career page. Candidates can apply, and Personio automatically creates a new profile for them. You can design your career page without developer resources.
- If you already have a corporate career page: There are different options to connect your existing career page with Personio. Depending on the option you choose, you might need support from your internal IT department.
When you set up the career page, you also need to create a default application form. With this form, you can capture relevant candidate information. Personio uses this information to create the resulting candidate profile. You can also customize the application form for a specific job during the job creation flow.
Assign permissions and recruiting roles
You can grant your employees access to different areas of Recruiting based on their roles and responsibilities. You can also define their level of access. It’s important to assign permissions appropriately.

Set up automatic anonymization
We recommend setting up automatic anonymization. With this feature, you can anonymize your candidates’ data after a defined period of time. This helps you to comply with data protection regulations.

Step 2: Get ready to receive applications
Personio has certain features to help you receive and manage new applications. This section outlines these requirements.
Create email templates
In Personio, you can create custom email templates for candidate communication. You create specific templates for different stages of the recruiting process.
You can use placeholders to populate your email with relevant data, and also add personalized email signatures.

Set up automated confirmation emails for new applications
With this feature, your candidates receive an automated email when they submit a job application. You need to create a suitable email template before setting up this feature.

Create recruiting categories and stages
In Personio, recruiting stages reflect the steps a candidate goes through. When you create a new recruiting category, you usually add stages to it. The following articles explain the concept of recruiting stages and categories in Personio:
Once you’re familiar with the concepts above, go ahead and create custom stages and create categories.
Set up interview types
You can define different interview types in the Settings, for example, “Phone interview”, “Peer assessment”, etc. You then select the appropriate interview type when scheduling interviews in the candidate profile. Your internal interview participants can see the interview type in the subsequent invitation.
You can optionally create custom stages to correspond to your different interview types. This allows for more accurate insights.
Create candidate evaluation forms
With evaluation forms, you can collect feedback on candidates from your interviewers. You can use different methods for gathering the information.

Set up disqualification reasons
With this feature, you can specify the reasons why a candidate is rejected or withdrawn. This can help you gain better insights into your recruiting processes.

Step 3: Create a job
After you’ve set up the relevant features, you can create your first job in Personio. Learn how to create a job.
You can promote your new job on external job boards. Learn about the different options available.
