This article contains some tips to ensure you've set up your employee roles and permissions correctly.
Tip:
Administrators have the option of logging in as a specific employee to check permissions. To do this, go to the employee's profile and in the top-right corner, click Login as this employee.
Required settings
Access
- You've assigned all employees to the appropriate employee roles.
- You've deleted roles that are not required or do not have additional permissions.
- Each employee role has the correct level of permissions for the Personal data section, Document categories, Time off section, and Team calendar.
- The All employees role has propose permissions for the document category Time off certificates.
- Supervisors have permissions to access the required personal data and time off types for their reports.
- Any roles that should have no salary access also do not indirectly have access to other sources of salary-related information. For example, the salary system report or work contracts.
- You've given a minimum of view permissions to the relevant employee roles for any section containing data you've created reminders about.
- If you've granted custom permissions to an employee role, check that:
- You've created at least one filter.
- You haven't created two filters for the same attribute (For example: Department equals Marketing + Department equals Management).
Approvals
If at least one role has Propose permissions for Time off, Attendance, or Personal data, check that:
- You've set up approval processes with rules and conditions that match all employees in those roles whose requests require approval.
- If you've set different approval processes for specific employee groups, you've created a separate process per group using the right rules and conditions.
- You've assigned the correct approvers to each process and enabled delegation where necessary.
- If a process includes multiple approval steps, the steps are in the correct order.
- If more than one approval process (within the same approval type) could apply to the same request, you've set the priority order so the correct process is applied.
Optional settings
- If you're using the Supervisor role, check that you've assigned the relevant employees to this role, and that the role has access to relevant sections and information of their employees.
