This article explains how to reset or change another employee's password. Learn how to reset your own password.
Note:
If your organization uses single sign-on (SSO) for authentication, your SSO provider manages passwords. In these cases, you don't see the option to reset or change passwords in Personio.
Before you begin
You can only reset or change someone's password if they already have one. There are two ways to do this:
- Send a password reset email.
- Change the password in an employee’s profile.
After resetting or changing a password, the system logs the user out of all active sessions. They need to log in again with their new password.
Send a password reset email
To send a password reset email, you need edit rights for Manage accounts. To do this:
- Go to Settings.
- In the People section, click Employee Roles.
- Click Access rights.
- In the Manage accounts section, grant edit rights for Manage accounts.
Once you have the correct access rights, you can send a password reset email:
- Go to the employee’s profile.
- Click the three-dot icon in the top right.
- Select Manage account.
- Select Send password reset email.
Tip:
If you change an employee's email address in their Personio profile, send a password reset email so they can log in with their new email address.
Change a password in an employee's profile
To change an employee’s password in their profile, you need edit rights for Reset password. To do this:
- Go to Settings.
- In the People section, click Employee Roles.
- Click Access rights.
- In the Manage accounts section, grant edit rights for Reset password.
Once you have the correct access rights, you can reset an employee's password:
- Go to the employee’s profile.
- Click the three-dot icon in the top right.
- Select Manage account.
- Click Set new password.
- Enter a password (see the password requirements).
- Submit the changes.
The employee can now log in with the new password.
