This article is only relevant for the Recruiting calendar integration. For the time off calendar, you can integrate your company calendar directly.
This article explores common issues relating to the Recruiting calendar integration setup. If you're reading this article, you've already integrated your company calendar with the Personio Recruiting calendar.
In this article, we cover the following issues:
- I’m receiving an access denied error message.
- I’m receiving a server error message.
- All employees show the status Unavailable.
- A single employee shows the status Unavailable.
- When I try synchronizing a new employee, I receive an error message.
- A room doesn’t appear in the list of synchronized rooms.
- The integration doesn't activate and Personio redirects me to the Recruiting calendar settings.
Before you start
Personio's subcontractor Cronofy provides the calendar integration service. You should familiarize yourself with our frequently asked questions on Cronofy.
If you use Microsoft 365 and originally set up the integration using EWS, you need to switch to a Graph API connection. Deactivate the current integration and reconnect it using a Microsoft Entra ID admin account. Follow the steps for integrating the Recruiting calendar.
I’m receiving an access denied error message
Issue: When setting up the integration, you see an “Access denied” error message.
Possible solution:
- Google Calendar: Check that you have admin credentials for your company’s Google Apps account. Make sure to log in with these credentials. Learn more in this Cronofy help article.
- Office 365 via Graph API: Check that you have Global Administrator access. Make sure to log in with these credentials. Learn more in this Cronofy help article.
- Microsoft Exchange: Make sure you’ve set up a service account. Then check that your login credentials are tied to this service account.
I’m receiving a server error message
Issue: When setting up the integration, you receive a server error message.
Possible solution: The server might be busy or experiencing an issue. Refresh the page and try again.
All employees show the status Unavailable
Issue: In Settings > Recruiting > Recruiting calendar, all your employees show the status Unavailable. This means that the authentication was unsuccessful and Personio can’t synchronize the employees’ calendars.
Possible solution:
- Google Calendar: Check that you have admin credentials for your company’s Google Apps account. Make sure to log in with these credentials. Learn more in this Cronofy help article.
- Office 365 via Graph API: Check that you have Global Administrator access. Make sure to log in with these credentials. Learn more in this Cronofy help article.

Microsoft Exchange:
▶︎ Make sure you’ve set up a service account. Then check that your login credentials are tied to this service account.
▶︎ Check if the impersonation role is assigned to the service account.
▶︎ Make sure that a mailbox and a fully paid license are assigned to the service account.
▶︎ Deactivate the calendar integration and reauthorize to apply changes. Note: This deletes all connected accounts and service accounts from our database and reauthenticates the calendar. This action doesn’t delete any calendar events or data in Personio.
▶︎ Run the connectivity test. This tests if the service account can access the user’s account. - Microsoft Office 365 via EWS: Deactivate the current integration and reconnect it using a Microsoft Entra ID admin account. Follow the steps for integrating the Recruiting calendar. Note: This deletes all connected accounts and service accounts from our database and reauthenticates the calendar. This action doesn’t delete any calendar events or data in Personio.
As well as Unavailable, your employees can show four other synchronization statuses. Learn more in our article on setting up the integration.
A single employee shows the status Unavailable
Issue: In Settings > Recruiting > Recruiting calendar, a single employee shows the status Unavailable. This means that the authentication was unsuccessful and Personio can’t synchronize the employee’s calendar.
Possible solution: Follow these steps:
- Click the Sync employee loop icon next to the employee’s name.
- Refresh the page.
- Make sure that you’ve set up the employee’s email address and that it’s active in your company calendar domain. Note that email addresses can’t contain umlauts (äöüß).
- Make sure you’ve added the email address in the relevant employee profile in Personio.
- Check that the employee isn’t using a shared mailbox.
- If you’re using Microsoft, run the connectivity test. This tests if the service account can access the user’s account.

When I try synchronizing a new employee, I receive an error message
Issue: When you try synchronizing a new employee, you receive an error message.
Possible solution: This might happen if you add a new employee in Personio before creating their account in your calendar application. In this case:
- Add the employee to your company domain.
- Go to Settings > Recruiting > Recruiting calendar, and try synchronizing them again.
A room doesn’t appear in the list of synchronized rooms
Issue: In Settings > Recruiting > Recruiting calendar, a room doesn’t appear in the list of synchronized rooms.
Possible solution: Review Cronofy’s documentation on resources and room lists.
The integration doesn't activate and Personio redirects me to the Recruiting calendar settings
Issue: After completing the setup steps, the integration doesn't activate. Personio displays an error message and redirects you to Recruiting calendar settings page.
Cause: The account you're using to set up the integration doesn't have the required credentials or permissions.
Possible solution:
- Google Calendar: Check that you have admin credentials for your company’s Google Apps account. Make sure to log in with these credentials. Learn more in this Cronofy help article.
