This article is only relevant for the calendar integration for time off. If you want to synchronize recruiting events, you need to integrate the Recruiting calendar using Personio's subcontractor, Cronofy.
This article explains how to set up a direct calendar integration with Google and Microsoft. With the integration, you can display your employees' out-of-office status on your company calendar.
If you want to create a shared calendar on a third-party app, generate an iCal subscription link in Personio and share it with your employees.
Before you start
- The integration uses the employee's email address assigned in Personio to determine which calendar to send a time off to. Ensure the email belongs to the authorized account set up for this purpose.
- The integration only works for time off types measured in days.
- We don't sync time off categorized as “Remote work”.
- Shared time off is titled “Absent” and follows the absent employee's language preferences.
- We don't share comments on time off with Google or Microsoft.
- For Google Calendar, we use default visibility settings. If your calendar is private, time off events are private; if public, events are public.
- For Microsoft, time off details aren't marked as private.
- Time off blocks others from scheduling time with the employee on that day.
Set up the Google Calendar integration
To set up this integration, you must:
- Be an Admin user for Google Workspace.
- Have matching email addresses in Google Workspace and Personio.
- Have edit rights to the API and Marketplace sections in Personio.
Follow these steps:
- Install the Personio for Google Calendar application on your Google Workspace account.
- Log in to your Personio account.
- Click Marketplace and look for Google Calendar.
- Review the integration terms and click Connect.
- Follow the instructions that appear on the screen.
- Enable the integration. Future time off in Personio sync up with your employees’ Google Calendar.
- If the integration was set up successfully, the integration summary displays the Settings > Monitoring option. To see this, you might need to refresh the browser or wait a while.
Set up the Microsoft 365 integration
Our calendar integration relies on application permissions in Microsoft Entra ID. To set up this integration, you must have a Global Administrator or Privileged Authentication Administrator role. Make sure you're signed in under one of these roles. You also need edit rights to the API and Marketplace section in Personio.
The application uses the following permissions:
- Calendars.ReadWrite: Allows the app to create, read, update, and delete events of all calendars without a signed-in user. Administrators can use application access policies to limit application access to specific calendars, even if the Calendars.ReadWrite permission is in place.
- User.ReadBasic.All: Allows the app to read a basic set of profile properties of other users in your organization without a signed-in user. Includes display name, first and last name, email address, open extensions, and photo.
Follow these steps:
- Log in to your Personio account.
- Click Marketplace and look for Microsoft Calendar.
- Review the integration terms and click Connect.
- Follow the instructions that appear on the screen.
- Enable the integration. Future time off in Personio syncs up with your employees’ Microsoft Calendar.
- If the integration is successful, you'll see a Monitoring option under Settings in the integration summary. You may need to refresh your browser or wait a few moments for it to appear.
Set up the Microsoft Exchange integration
To set up this integration, you must have:
- The necessary credentials on Microsoft Exchange.
- Edit rights to the API and Marketplace section in Personio.
Follow these steps:
- Create a service account on the active directory under the Microsoft Exchange Server.
- In your Personio account, click Marketplace and look for Microsoft Exchange Calendar.
- Click Connect and fill out the necessary fields. Enter the email address and password of the account you created in step 1.
- Follow the instructions that appear on the screen.
- Enable the integration. Future time off in Personio sync up with your employees’ Microsoft Calendar.
- If the integration was set up successfully, the integration summary displays the Settings > Monitoring option. To see this, you might need to refresh the browser or wait a while.
