This article explains how to edit or cancel a posting on an external job board. Examples of external job boards include LinkedIn, Indeed, and Stepstone. You promote your job postings via the Promotion tab of the job details. Learn about the different options for promoting jobs.
Before you start
For most of the tasks outlined in this article, it’s enough to have either:
- Edit permissions for the Recruiting app, or
- A recruiting role with permissions for Jobs.
However, if you want to edit the job description fields or About us section, you need permissions for your company’s Recruiting settings. This is because you need to make these edits in the Settings.
When making edits, we recommend keeping formatting to a minimum. This helps ensure compatibility with external job boards.
Edit a multiposting
With multiposting, you can promote your jobs across a wide range of job boards. Our job posting partner, GoHiring, manages this service. The process of editing a multiposting depends on the changes you want to make:
- I want to edit the job description or name
- I want to edit the job description fields
- I want to edit the About us section
- I want to edit the job details
Edit the job description or name
To edit the job description or name of an active posting, follow these steps:
Step 1: Make the changes
- Go to Recruiting > Jobs and click the relevant job's title.
- In the Description tab, click the pencil icon.
- Make your changes where needed.
Note: Make sure to edit the description in all languages if needed. - Click Publish changes. A pop-up window appears asking you to preview your changes.
- Publish.
Note: This only refers to publishing the changes on the Personio career page, not external job boards.
Step 2: Send the changes to the job boards
To post the changes on the job boards, follow these steps:
- Go to Recruiting > Jobs and click the relevant job's title.
- Go to the Promotion tab in the job details.
- A notification should appear referencing the recent edits. Click Check availability to see if your selected external job boards support editing.
- If the job board supports editing, you can see the estimated processing time in green. If the job board doesn't support the editing of job descriptions, it shows as not supported in red. Hover the mouse over not supported to see further details. This might be because:
▶︎ The job board doesn't support changes.
▶︎ You're trying to edit a posting on a free job board.
▶︎ The posting's expiry date is too close. - Click Request edits.
It may take a few days for the job boards to process your edits and publish them. To make sure your edits are published, check directly on the job boards. To do this, go to the Promotion tab and click the relevant posting. In the pop-up window that appears, click the three dots and select Go to posting. This redirects you to the active posting on the external job board.
Edit job description fields
You define your job description fields in the settings. These fields form the individual sections of your job description. They give the candidate an overview of the skills, experience, and attributes required or preferred for the role.
To edit job description fields, follow these steps:
Step 1: Make the changes
- Go to Settings > Recruiting > Job descriptions.
- Select the relevant field from the left.
- Click the three-dot icon to edit the title or to switch categories. Make changes in all required languages.
- Apply your changes.
Step 2: Send the changes to the job boards
For the changes to become visible in the posting of an external job board, you need to inform the job board of the update. The only way to do this currently is by creating a change in the job's Description as described in the section above. This notifies the job board of the changes. Adding a space in the job description is enough to trigger the notification in the Promotion tab.
Edit the job's About us section
With the About us section, you can tell candidates about your company. It appears at the bottom of your job descriptions. To edit this section, follow these steps:
Step 1: Make the changes
- Go to Settings > Recruiting > Career page.
- Scroll down to About us.
- Edit the content as needed. Make changes in all required languages.
- Apply your changes.
Step 2: Send the changes to the job boards
Follow the instructions described above.
Edit the job details
You can access the job details in the job creation flow. These details include the job type, occupation, and employment type. To edit the job details for a live posting, you need to contact our job posting partner, GoHiring.
To get in touch with GoHiring you have two options:
- Contact form (only available in German): Open the GoHiring request form and select Anzeige ändern.
- Email: If you’re an international customer, you can email service@gohiring.com directly to request the change. Make sure to provide your company name, the relevant job, and the job board. If you need to update the link to the application form, provide the new link.
Edit a multiposting on a free job board
The process for editing a free multiposting depends on the job board. Here’s the process for Bundesagentur für Arbeit:
- Cancel the existing posting.
- Edit the content via the Description tab.
- Go to the posting via Promotion > My postings, and select Bundesagentur für Arbeit.
- Click Renew to publish the posting again.
Edit an auto-posting
With auto-posting, you automatically post your jobs on multiple job boards for free. Any changes that you make to the job's data are automatically updated in the auto-posting. For example, changes to the location, description, job details, and career page links.
If you need help with a specific posting on Indeed, you need to contact Indeed directly.
Cancel a multiposting
Tip:
Make sure to cancel any live job postings before archiving a job. Otherwise, the promotion remains live, even after you archive the job.
You might decide to cancel a multiposting because the job is filled or no longer needed. The process is the same for both paid and free job boards.
Follow these steps:
- Go into Recruiting > Jobs.
- Go to the relevant job and click on its title.
- In the Promotion tab, under My postings, click on the job board.
- In the pop-up window that appears, click on the three-dots icon.
- Select Request expiration.
- Confirm your request. Note that this action is irreversible, and you won’t be eligible for a refund.
The job board is automatically notified of the request. It may take some time for the status of the posting to appear as expired.
If you want to cancel a posting because you promoted it accidentally and want a refund, you need to contact GoHiring. Use one of the contact options described above.
Cancel an auto-posting
To cancel an auto-posting, you need to unpublish the job in Personio. Follow these steps:
- Go into Recruiting > Jobs.
- Go to the relevant job and click on its title.
- Click the three-dots icon in the top-right corner.
- Unpublish.
Once the job is unpublished, the selected job boards automatically remove the posting.
Access metrics on channel performance
For metrics on which job boards are generating the most candidates, go to Recruiting > Metrics > Channels. Learn more about the Metrics tab.
