This article explains the Metrics tab in the Recruiting app. The Metrics tab shows data on your whole recruiting process. This data helps you understand your recruiting process and identify areas for improvement.
Access the Metrics tab
You can access the Metrics tab via Recruiting > Metrics. The Metrics tab is available to employees with edit access to the Recruiting app.
You can also grant an employee exclusive access to the Metrics tab. For example, you might want a senior manager to have access to recruiting metrics but not to jobs and applications. You can also define the level of access for each Metrics tab section. For example, you might grant an employee access to Offers but not Disqualification.
Sections and charts
Tip:
When calculating metrics, Personio considers a candidate “hired” when you move them to the Hired stage. In other words, it doesn't use Hire date as the basis for Recruiting metrics.
In the Metrics tab, you can access data on different sections of your recruiting process, for example, hiring progress. You can find these sections in the column on the left. Each section contains charts where you can visualize your data. Read on for an overview of each section.
Hiring progress
This section contains two charts, as shown in the table below. These charts help you understand the breakdown of hires based on your selection criteria. You can also understand how this breakdown changes over time.

| Hires made | This chart shows the number of hires made and the average number per segment for the selected time period. |
| Hires made over time | This is similar to the Hires made chart, but it shows your hires made over a certain period. The chart breaks down into weeks, months, or years, depending on the period you select. |
Hiring efficiency
This section contains two charts, as shown in the table below. These charts help you understand the length of your hiring process. You can use this information to identify efficiency gains.

This chart shows how long it took to hire for a specific job. You can see the average time-to-offer and the average time to hire for all your jobs:
The results between the two charts can vary, as you might not use the Offer stage in your hiring process. |
| Hiring speed over time | This is similar to the Hiring speed report, but it shows your hiring speed over a certain period. The graph breaks down into weeks, months, or years, depending on the period you select. |
Pipeline health
This section contains two charts, as shown in the table below.

This chart helps you explore conversion rates between recruiting stages in your pipeline. Learn how Personio calculates these conversion rates in our dedicated article. You can also find examples and learn why percentages sometimes exceed 100%. |
| Time in stage | This chart shows the average number of days applications remain at each stage. This helps you understand if candidates spend too long in a particular stage and identify problems in the pipeline. You can set a maximum limit for the number of days when creating a custom stage. |
You can view both charts at the granular level of All stages or at the aggregated level of Stage types. Learn more about the concept of recruiting stages in Personio.
To view data at the All stages level, you need to filter for a specific job or a specific recruiting category. This is because the data only makes sense when jobs share the same sequence of recruiting stages.
Example:
You create a recruiting category named “Permanent employees.” You select the following stages for this category:
Screening
Phone interview
Personal interview
Peer assessment
Final decision
Offer
In the Pipeline health section of the Metrics tab, you apply the filter “Category contains Permanent employees” and select the All stages view.
- In the Passthrough rates chart, you can now view the percentage of applications that pass through to each stage. For example, 33% of candidates move from "screening" to "phone interview." Learn how Personio calculates these conversion rates in our dedicated article.
- In the Time in stage chart, you can view the average number of days candidates spend in each stage. For example, candidates spend an average of three days in "final decision."
If you view the data at the Stage types level, Personio aggregates the pipeline statistics across jobs from different categories. This helps you view pipeline metrics across all jobs in your company.
Offers
This section contains two charts, as shown in the table below. This data helps you understand the breakdown of candidates who accept an offer.

Applications
This section contains one chart, as shown below. With this data, you can explore why certain periods yield more applications. This helps you plan your recruiting process.

Channels
This section contains two charts, as shown in the table below. You can use this data to understand which recruiting channels are most successful.

Disqualification reasons
This section contains two charts, as shown in the table below. These charts can help you to identify the most common reasons for disqualification. With this information, you can make informed changes to your hiring process. For example, you might make adjustments to your job description to attract more qualified candidates.

Date range, segment, and filter options
The Metrics tab offers different filtering and segmenting options. You can also define the date range for your data.
Set a date range
You can select a specific date range to view your data. Click the calendar button at the top of the page and select one of the following options:
- Preset date range: Year to date (default), this quarter, last quarter, last year, or all time.
- Set a custom date range: Set your own start and end dates.
Segment the data
You can segment the data by each of the options below. The data is segmented by Department by default.
- Department
- Recruiting category
- Job
- Tag
- Recruiting channel
- Gender
- Workplace
- Legal entity
Note:
All sections allow for segmentation, except for Pipeline health and Channels. This is because metrics such as conversion rates can’t be segmented.
Set filters
You can use the filters to exclude certain data and narrow down the information that is shown. You filter for any number of the options below:
- Job
- Department
- Tag
- Recruiting channel
- Gender
- Legal entity
- Workplace
Inspect and share the data
Inspect the data
For each chart, you can view details about specific candidates and key application information. Click the three-dot icon at the top of the chart and select Inspect data. This displays a list of candidates related to that data set.
Export the data
You can export your metrics as a PNG or .XLSX file.
- Export as a PNG: You have the option to export each chart as a PNG. Click the three-dot icon at the top of the chart and select Export as PNG. With a PNG, you can easily use the image of a chart in presentations and reports.
- Export as an .XLSX file: You also have the option to export the data from each chart as an .XLSX file. Click the three-dot icon at the top of the chart and select Inspect data. Then click the Export button at the top of the page.
