Learn how to create a new job, publish it on the Personio career page, and promote it.
In the Personio Recruiting app, the term "job" refers to a vacancy. It must contain a description of the open position and a translation if required. You can advertise your job either on your Personio career page or on external job boards.
The job is the focal point of all recruiting activities related to it. You can view these activities in the job details (Recruiting > Jobs > job's title) or in the Insights tab (Recruiting > Insights).
Create or duplicate a job
To create a job, you can either create a brand-new job or duplicate an existing one. Your recruitment process must be fair and transparent. Read our best practices on legal requirements for recruiting.
Create a new job
To create a new job, follow these steps:

Go to Recruiting > Jobs and click on Create job.

In the Internal information section, enter the internal job title and the desired start date. You can also enter an opening title. Click Next.

In the Job details section, select the required information from the different drop-down menus. You must fill in all mandatory fields before you can publish the job. You can also post your job in several locations by selecting multiple offices. Note that the following fields are predefined by the job boards and can't be changed:

Under Salary information, enter a yearly, monthly, or hourly salary. Depending on the country where you are hiring, this information might be mandatory. Click Next.

In the Job description section, add your job name and fill in the description of the job. Select the default language in which it should appear on your Personio career page. Learn more on how to write a good job description.

If you do not want to fill in all the optional fields, you can leave them blank. The About us section appears by default on every job. To edit this section, go to Settings, then go to Recruiting > Career page > Translations.

You can also add translations by clicking on Manage languages. You must translate all the required fields to see the language on the Personio career page. Learn more about Personio career page: language handling. Click Next.

In the Application form section, you can manage your application form fields and documents. Tick the Required boxes to make the field mandatory for the candidates to fill. If you do not complete this section, the default application form will be used. Click Next.

In the Hiring Plan section, add the employees who will take part in the hiring process. Select the individuals to add, and their roles, from the two drop-down menus.

Under Hiring process, assign a category to determine the hiring process for this job. Click Next.

Optional: use the automated screening feature to filter unqualified applicants (see section below).

In the Promotion section, click on Publish to preview your posting. You can also see the job boards available for auto-posting.

Click Publish to publish your job on the Personio career page.
If you delete the information in the job description section, your job's status will change to Draft. It will no longer appear on your Personio career page.
Duplicate a job
If you duplicate a job, all the associated information is added to the new job. This includes meta-information, openings, hiring team, job descriptions, and their translations.
To duplicate a job, follow these steps:
- Go to Recruiting > Jobs.
- Click on the relevant job’s title. This opens the job’s details.
- In the top-right corner, click the three-dot icon and select Duplicate.
Set up automated screening
You can use the automated screening feature to filter unqualified candidates. When applying, they will see the required question, for example: "Do you have a driving license?". If the candidate's answer does not meet your criteria, their application is rejected.
You can see the candidates under the Rejected stage of your job. You will receive daily notifications via email about the rejected candidates. They are also available in the inbox of your Recruiting home.
Create your questions
Before setting up automated screening, you need to create your questions as candidate attributes. To do so:
- Go to Settings > Recruiting.
- Click the Attributes tab.
- Go to the Candidate profile section and click Add a new attribute.
- Fill in the following fields:
▶︎ Choose the "list of options" attribute type.
▶︎ Enter your automated screening question under the attribute name field. For example, "Do you have a driving license?"
▶︎ Add the options, for example, "yes" or "no". - Save your new attribute.
Set up an email template
You also have to set up an email template to reject the applications. Learn how to create an email template.
Enable automated screening
Once you have created your questions and email template, you can then follow these steps:
- When creating a new job or editing an existing one, go to Application form.
- Under Application form fields, click Add fields to add your questions.
- Go to Automated screening and enable the feature.
- Select the questions and the answers that will lead to disqualification. The more questions you use, the more filtered the application will be.
- Select the email template disqualified candidates will receive and the email sender.
- Schedule when candidates will receive the automated email.
Notifications about rejected candidates
Certain employees receive notifications related to automated screening. They receive a daily notification at 9 AM in their company's local time zone. This informs them of how many new auto-rejected applications have arrived in the past 24 hours.
Employees receive notifications if they:
- Are part of the hiring team for a specific job.
- Have access rights to applications.
- Have notifications enabled for new applications.
Promote a job
After you have published a job, you can promote the job on external job boards via the Promote feature or Auto-posting. Click on Go to promotion to see the different options provided by Personio. For more information about promoting jobs on external job boards, read:
Tracking links
Tracking links help you to track and analyze which channels candidates use to apply for a job. Jobs posted on the Personio career page track candidate responses automatically. In the candidate profile, you will see the Personio career page as the channel.
