This article explains how to map your complete corporate structure in Personio, meaning that you can easily record all subcompanies and their employees.
Note You can only map subcompanies if your plan includes this option. For further information on our plans and prices, take a look at our website.
Enable Subcompanies
Before you can configure your subcompanies, you need to enable the functionality in your Company Settings. To do so, follow these steps:
- Go to Settings > Organization > Company.
- Next to Company information, click Edit.
- Then activate the checkbox Subcompanies enabled, and Submit your changes. This will activate the Subcompanies section in your Settings.
Subcompany Setup
To set up a new subcompany you need to create it, assign an office, and add employees.
Create the Subcompany
- Go to Settings > Organization > Subcompanies.
- In the field New subcompany fill in your subcompany's name and click plus
.
- To change the subcompany name, click Edit.
To the right or the subcompany name, you see the number of active employees that are registered in Personio for this subcompany.
Note To delete a subcompany you need to ensure that the subcompany does not contain any active or inactive employees. Then click on the bin .
Assign an Office
If your subcompany has an office at a different location, you should create and assign the correct office to each subcompany. To do so, go to Settings > Organization > Offices. Learn more about Configuring Offices.
Tip Also remember to configure and assign a public holiday calendar for each office, as this is important for the calculation of leave days.
Assign Employees to a Subcompany
To assign employees to a subcompany, you need to add the attribute Subcompany as an additional column in the Excel template for the Employee Import. Then enter the respective subcompany name in this column. Learn more in our article Step 1: Importing Employee Data.
General Functions
Once you have configured a subcompany, you can manage associated data in various sections of Personio:

Employee profile | For employees of the subcompany, the subcompany is shown as a system attribute in the Public profile section of the Employee profile. ![]() |
Employee list | You can display the column Subcompany in the Employee list, and can filter views by Subcompany.![]() |
Payroll |
You can create separate payroll exports for each subcompany. Subcompanies are automatically separated in preparatory payroll processes. Learn more about Managing Preliminary Payroll. |
Orgchart |
Click on the Orgchart view to have the subcompanies and their employees shown in a clearly structured organizational chart. |
Reports |
Generate separate Reports by creating groups or adding filters for specific subcompanies. |
Filter by attribute |
You can select the attribute Subcompany for any filter available in Personio. For example, to assign access rights only for a particular subcompany. Employees with access rights for a specific subcompany can then only access employee data for that subcompany. Learn more on access rights in Step 8: Reviewing Employee Roles and Access Rights. |
