If you’re using the Personio career page and our promotion feature, you don't need tracking links. This article is only relevant if you promote your jobs on external job boards without using Personio’s promotion feature.
This article explains how to create tracking links for external recruiting channels. You add these tracking links to your job postings. When a candidate clicks a tracking link, they go to your Personio application form.
With tracking links, you can:
- Track which sources candidates are coming from.
- Analyze the performance of different recruiting channels.
Before you start
- If you haven’t already done so, create and publish a job.
- To complete the full process outlined in this article, you need permissions for your company’s Recruiting settings.
- If you’ve connected your corporate career page to Personio, check which option applies to you.
Step 1: Create a recruiting channel
To promote a job on an external job board without using the Personio promotion feature, you need to create a channel for it. Follow these steps:
- Go to Settings > Recruiting > Channels.
- Click Add a new channel.
- Give the channel a name, for example, LinkedIn, Stepstone, Headhunter, Referrals, etc.
- Select the pricing type. Depending on your selection, enter a cost and a currency.
- [Optional] Add notes.
- Save and close.
Personio automatically assigns the new channel a unique channel ID.
Step 2: Create tracking links
The URL of your career page is the basis of your tracking links. The process of creating tracking links differs depending on whether you’re using the Personio career page or your company's own career page.
If you're using the Personio career page
Use case: If you use the Personio career page but don't use the promotion feature, tracking links can still be useful. For example, you might want to manually create a posting on an external job board, like LinkedIn. In this case, you need to provide a link to the application form on the external posting. You can create a tracking link for this purpose. This allows you to track candidates coming from the relevant source.
Use case: You might have integrated your Personio career page into your company's website via iframe. In this case, candidates find the job and apply through your company website. However, the recruiting channel is the Personio career page.
If you’ve enabled the Personio career page in the Settings, Personio creates all career page links automatically. This includes those for the job description and application form. You can find these in the Promotion tab of a job, under Career page links. You can use these links when you want to link to the job from another location. However, these aren’t tracking links. If you want to track where candidates are coming from, you still need to create and use tracking links.
To create new tracking links for a job, follow these steps:
- Go to Recruiting > Jobs and click on the job’s title.
- Go to the Promotion tab.
- Next to Tracking links, click the plus icon. Select the relevant channel from the drop-down.
- Create the tracking link.
If you’re using your own company career page
Notes:
▶︎ This section is only relevant if you’ve disabled the Personio career page via Settings > Recruiting > Career page. For example, if you’ve connected your company career page with Personio via XML and API.
▶︎ To add tracking links to your own company career page, you need support from a web developer or from your internal IT department.
Step 1: Link to your career page
- Go to Recruiting > Jobs and click on the job’s title.
- Go to the Promotion tab.
- Next to Career page links, click on the edit button.
- Enter the links to your company career page in the Job description and Application form fields.
- Save.
Step 2: Create new tracking links
- Go to Recruiting > Jobs and click on the job’s title.
- Go to the Promotion tab.
- Next to Tracking links, click the plus icon. Select the relevant channel from the drop-down.
- Create the tracking link.
You can create a link for each recruiting channel you want to track.
Step 3: Add a tracking link to your career page
To add a tracking link to your company's career page, you need to store the link behind the Apply button of your posting's HTML code. To do this, you need support from a web developer or from your internal IT department.
If you’ve connected your career page via API and are using your own application form, refer to our Developer Hub. For correct tracking, take note of the following parameters:
- Recruiting_channel_id
- External_posting_id
Remove a tracking link
To remove a tracking link, click the x icon next to the tracking link’s name. If you remove a tracking link, it no longer appears under Promotion > Tracking links. However, the link remains active and continues to track candidates coming from the relevant channel. This happens until you manually remove the link from the channel.
Track applications from non-digital sources
Your company might advertise open jobs via non-digital sources, such as job fairs or print newspapers. If so, you can create a channel and a tracking link for each source as usual.
When advertising your job, you might choose to embed the tracking link in a QR code. This way, candidates can scan the QR code and access the job application.
If you don’t use a QR code, you likely want candidates to send you their application via email. In this case, you need to manually create a new application. You can then enter the recruiting channel in the Profile tab of the resulting candidate profile.
