Before you get started
In order to use the DATEV integration, you or your payroll accountant need the appropriate access rights.

Attribute value in the payroll table is marked as invalid
Problem:
In DATEV LODAS and Lohn & Gehalt, certain fields are subject to validation and not all values are accepted. These validation rules were therefore also introduced in Personio in order to avoid errors when data is transferred to DATEV.
Typical examples are the maximum length of the position title (30 characters) and the format of zip codes and social security numbers.
Solution:
Customize the attribute values.
To eliminate the errors, change the value for the relevant employee to a valid one. You can do this either directly under Employee Profile > Personal info or, for multiple employees, via an employee data import. Document distribution/preview reset for this month through recent changes to employee data
Problem:
If Personio detects a change in an attribute relevant for assigning employee documents in a payroll month, it resets the distribution of documents and preview. An error message in the payroll accounting table indicates this.
Changes to the following data points trigger the error:
- DATEV personnel number
- Consider in German payroll
- Subcompany (if applicable)
Solution:
Confirm the retrieval of documents again. Before that, they will no longer be displayed in the preview and cannot be downloaded and distributed to employee profiles.
Then click on Retrieve documents again and process the documents as usual.

Documents can't be retrieved due to duplicated Personalnummer.
Problem:
A duplicate DATEV personnel number within a company will result in an error message for the employees concerned via the payroll accounting table, specifying the personnel numbers in question.
In this case, documents cannot be retrieved because it is not possible to clearly assign them to the employees of the legal entity.
Solution:
Check the changes and the assignment of the DATEV personnel number attribute for the employees affected and, if necessary, consult with your payroll accountant. Then also check whether the history of the employee within Personio is correct. Then click on Retrieve documents again and process the documents as usual.

Documents for some employees could not be retrieved or assigned
Problem:
This error meant that no documents could be retrieved or assigned for some employees who are to be included in payroll within a company. This may be because No was selected for the attribute Include in payroll and the DATEV-Personalnummer is missing. A warning message above the payroll accounting table indicates this, and affected employees are also highlighted in the table with a warning triangle.
If documents have been transferred for employees but the payslip is missing, this is also indicated by a warning triangle.
Solution:
Check the data for errors and correct them or, if necessary, contact your payroll accountant or tax advisor.
Then click on Retrieve documents again and process the documents as usual.

Retrieved and distributed documents are reset after new employees have been added
Problem:
Retrieved documents that have already been distributed for a completed month are reset as soon as new employees are added for the coming month. This happens when their hire date is in the coming month and the value for the attribute Consider in German payroll is set to Yes.
Solution:
Retrieve the documents for the month again and distribute them.
Tip:
To prevent this case from happening in the future, make sure that no value is created for the attribute Consideration in payroll for new employees created in Personio or through an import. Use the option to schedule attribute changes to create the value on the hire date.
