Get started with Personio Surveys. This article will walk you through the basics, from checking your access rights to analyzing the feedback you collect. Start gathering insights that can help improve your workplace.
Step 1: Check your access rights
Before anything else, make sure you can access the Surveys feature. There are three different access levels to the Surveys app, and you'll need the right permissions to create, manage, and view surveys.
If you're not sure about your access, take a look at the Surveys access rights article , and discover how to gain access to be a survey creator, or to collaborate on a survey (more on that below). Alternatively, ask your Personio Administrator.
Step 2: Create your first survey
Now, it's time to create your survey. Start with a clear goal in mind. Are you looking to improve employee engagement, check in on employee satisfaction, or gather input for performance reviews? Knowing your goal will guide your survey design.
Check out our article on creating a survey, and keep the following points in mind:
- Go to the Surveys section in Personio and click Create new survey. Choose a template or start from scratch.
- Add questions that match your survey's goal. Personio offers different question types to fit your needs. Take some time to learn about the NPS question type. Discover how to use themes to group all other types of questions.
- Pick who should receive the survey, whether it's a specific department, role, or custom group.
- Set confidentiality parameters. Decide who can see the survey and group results to ensure confidentiality. These settings help ensure you get honest and useful feedback.
- Choose your collaborators. A key step in setting up your survey is selecting the right collaborators, including Survey Admins and employees with Full results access rights.
▶︎ Survey Admins can help design and distribute the survey, ensuring it reaches the right audience.
▶︎ Employees with Full results access rights can play a crucial role in analyzing the feedback and implementing changes. - Set the timeline. Choose between a one-time survey or a recurring one. One-time surveys are ideal for collecting ad-hoc feedback, while recurring surveys help you identify trends over time.
Step 3: Send out your survey
With your survey ready, it's time to send it out. Personio lets you choose who gets the survey and when it goes out, so you can make sure it reaches the right people at the right time.
Launch your survey, or schedule it for a specific date and time.
Step 4: Analyze and share the results
After your survey ends, dive into the results. Personio gives you tools to look at the answers, find trends, and download results.
When analyzing the results, consider the following:
- Identify key areas of concern: Start by analyzing the survey results to identify the most critical areas where employees feel disengaged or dissatisfied.
- Recognize and reward engagement: Identify highly engaged teams or individuals and understand what drives their engagement.
- Communicate transparently: Use the survey results as a tool for open dialogue between management and employees. Share what the surveys have revealed and how the company plans to respond.
