The Survey Creator could be an HR Manager who wants to create a new Employee Engagement Survey. They want their supervisor to review the questions, participants, and configuration before sending the survey out, so they make their supervisor Survey Admin for this survey. Once they receive the responses, the COO wants to have a look at the results. So they grant the COO Full results view access for this survey.
Grant Survey Creator access rights
To grant an employee the access right to create new surveys, follow these steps:
Notes
▶︎ Only Personio Admins can grant this access right.
▶︎ These employees cannot see any other surveys or survey results that are not their own. The info box at the bottom can be ignored.
- Go to Settings > People > Employee Roles.
- Choose the employee role
- Select the tab Access Rights and go to Surveys.
- Then grant them access by selecting the checkbox next to Edit All.
This will give them the opportunity to create their own surveys and see their results.
Grant Survey Admin access rights
If you are a Survey Creator and want to collaborate on a survey with another employee so that they can support with the creation of the survey, selection of participants, and help with the evaluation of results, you can grant them Survey Admin access to a specific survey.
To do so, follow these steps:
- Navigate to Surveys and select the survey to which you want to grant access.
- Click on the three dots and select Edit from the dropdown menu.
- Then click on Configuration.
- Under Collaboration click Edit.
- In the window that opens up, click on Select people and select the employees you want to collaborate with.
- Then select Survey Admin and click Grant access.
The employee you invited to collaborate on the survey will receive an email notification informing them that they have been added to a survey as Survey Admin and a link to the survey.
Grant Full results view access rights
If you are a Survey Creator or Survey Admin and want to share the results of a specific survey with another employee, you can grant them Full results view access rights.
To do so, follow these steps:
- Navigate to Surveys and select the survey to which you want to grant access.
- Click on the three dots and select Edit from the dropdown menu.
- Then click on Configuration.
- Under Collaboration click Edit.
- In the window that opens up, click on Select people and select the employees that you want to share the results with.
- Then select Full results view and click Grant access.
The employee you invited to collaborate on the survey will receive an email notification informing them that they have been added to a survey with Full results view access and a link to the survey results.
Revoke access rights
To revoke an employee's access to a survey as Survey Admin, or to the survey's Full results view, you need to do the following:
- Navigate to Surveys and select the survey to which you want to grant access.
- Click on the three dots and select Edit from the dropdown menu.
- Then click on Configuration.
- Under Collaboration click Edit.
- In the window that opens up, click on the dropdown menu next to the collaborator's name and select Withdraw access rights.
The changes are saved automatically, and the employee will receive an email notification informing them that their access to this survey has been revoked.
