This article provides a summary of the different ways you can transfer applications to the Recruiting app. It covers automated transfer options, manual creation processes, and specific requirements for each method.
Applications via the Personio career page
When candidates apply via the Personio career page, the system creates a candidate profile. The information requested via the application form populates this profile, and the system assigns it to the relevant job. Learn about setting up the Personio career page.
Applications via external job boards
When candidates apply via external job boards, the system creates a candidate profile for them in Personio. This applies to jobs promoted via the promote function and manually. Read further information about promoting jobs.
To see which job board an application has come from, go to Channel in the candidate's profile. You can measure the success of different channels in the Metrics tab.
Applications via incoming emails
If you haven't already done so, set up candidate communication via email. This lets you centralize all recruiting emails in Personio.
When a potential candidate sends an email to your company's recruiting email address, it appears under Recruiting > Unassigned messages. This is assuming that there's no existing profile for the candidate. From Unassigned messages, you can manually create a new application for the candidate. Applications created manually
To create a new application manually, follow these steps:
- Go to Recruiting > Applications and click Create application.
- Enter the candidate information manually or use CV parsing.
- Finish creating the new candidate profile.
Applications via the Personio Public API
When you publish jobs from Personio to your company career page, you can use the Personio Public API to transfer applications. It creates candidate profiles in Personio and assigns them to the respective job. Internal applications
If an employee wants to apply internally for a position, follow these steps:
- Create a job in Personio.
- Ask internal candidates to apply via your recruiting email. The application appears in the Unassigned messages tab.
- Assign the application to the relevant job.
When you hire internal candidates, this creates a duplicated employee profile. We recommend downloading all recruiting documents and deleting the new profile. You can then upload the recruiting documents to the existing employee profile.
