In order to be able to use Personio Payroll successfully for your payroll accounting, you must make sure that employee and company data are completely filled out with the information necessary for payroll, especially before using it for the first time.
Step 1: Completion of employee data
After activating Personio Payroll, you will see in the employee profile in the tab Information Other attributes and sections that need to be completed for successful payroll accounting:
- Navigate to the employee's profile.
- Under the Personal info tab, click Personio Payroll.
- Check that this data is complete. The following attributes are particularly important here:
▶︎ Activity key
▶︎ The four attributes to the Contribution group
▶︎ Consideration in payroll accounting(in this case, employees who work abroad can be excluded from German payroll accounting).
Note
The order of the attributes is different from the one in your Settings dependent.
Step 2: Access rights to the payroll area
To ensure that employees who are involved in carrying out the payroll can see the new Personio Payroll area, you should check their access rights.
- Navigate to Settings > organization > roles & permissions > access rights.
- Select the employee role that requires access rights to the payroll area and review the settings.
- If necessary, you can create a new role. Learn more about managing employee roles.
Tip:
Afterwards, check again that the access rights for the individual employees have been assigned correctly by logging in toLog in as this employee.
Step 3: Payroll Settings
Ensure that your general payroll settings are correct. To do this, navigate to Settings> payroll > Salaries & payrolland go to the tab General. For more information, see our article on the Configuration of preparatory payroll accounting.
Step 4: Filling out employer information
In order to be able to carry out payroll payroll using Personio Payroll, Personio needs some information from your company in addition to the general Settings. To do this, navigate toAttitudes > payroll > Salaries & payrolland go to the tab Employer Information. Here you can insert your data. For more information about the individual employer attributes, see Setting up employer information for Personio Payroll.
Step 5: Filling out the location information
Since payroll and some related taxes are location-dependent. Your company's location information must be fully populated. To do this, navigate to Settings > organization > locations, and check the information provided for completeness and accuracy.
Then go to the Employee list and ensure that all employees have been assigned to the correct office.
