This article explains how to manually create an export of changes in employee information in Personio during a payroll period and how to import this data into Nmbrs. If you want to import new employees, read our article Import new employees into Nmbrs.
To import updated employee data in Personio into Nmbrs, you need to follow these steps:
- Review and export the data from the preliminary payroll in Personio
- Migrate the data into the Nmbrs import sheet
- Import the updated employee information into Nmbrs.
Prerequisites for the import
In order for the import to be successful, you need to add the following two attributes to your preliminary payroll in Personio:
- Employee ID
- Bedrijfnr
Go to Settings > Payroll > Salary & Payroll > General and add the attributes under Attributes & compensation types in personal info tab.
Notes
▶︎ The attribute "Bedrijfnr" does not exist in Personio by default, so you have to create it manually. Follow the instructions in our article Create custom sections and attributes.
▶︎ If the attribute "Employee ID" in Personio doesn't correspond to the attribute "Persnr" in your Nmbrs account, you also have to create this new attribute and fill it in with the correct information.
Review and export the data from Personio
- Go to Payroll via the sidebar menu and review all the data in the preview table.
- Click Generate export to export the preliminary payroll to an Excel sheet.
- Track the changes in employee data that occurred since the last payroll (or since the last month, if payroll has not yet been completed). They are highlighted in yellow.
Note
You still need to approve the preliminary payroll to ensure that changes remain visible. Follow the usual processes on managing your payroll in Personio.
Migrate the data into the Nmbrs import sheet
- Open the Nmbrs import sheet.
- Add only the data rows with changes in employee data from the preliminary payroll export file into the corresponding columns in the Nmbrs import sheet.
- Copy the values for the attributes "Bedrijfnr" and "Employee ID" for the employees who have changes in the respective payroll period.
- Save the import sheet.
