This article explains how to create an offer of employment without a contract document. This is relevant if you want to create the offer in Personio but share the contract document with the candidate in person.

Before you start
To create an offer and send it to a candidate, you need edit permissions for the Recruiting app. Other employees can also use the feature if they have a recruiting role with permissions for Offers. For example, the hiring manager for the relevant job.
Create an offer without a contract
Follow these steps to create an offer that doesn’t include a contract document:
- Go to Recruiting > Applications.
- Click the relevant candidate to open their profile.
- Go to the Offer tab and click New offer.
- Select the option to create an offer without a contract document.
- Fill in the details of your offer.
- The fields Hire date and Fixed salary (Monthly) appear by default. You need to fill in at least one of them to save the offer.
- Click Add a field to include more attributes in the offer. Select the relevant attributes from the dropdown and fill in the details. Personio later adds these attributes to the resulting employee profile.
- Save the offer.
Send the offer to the candidate
Note:
When you send an offer to a candidate, it doesn’t automatically affect their current recruiting stage. You need to manually move their application to the Offer stage.
Before you send the offer to the candidate, make sure their candidate profile contains a valid email address.
To send the offer to the candidate, you have the following options:
- Click Skip sending: With this option, Personio automatically moves the offer to the Pending stage. You need to inform the candidate about the offer outside Personio, for example, in person or over the phone.
- Send the offer to the candidate from Personio: With this option, you send the offer as an email via Personio. You can choose an email template to save time or write the message from scratch. Attach documents if needed. The offer status appears as Pending. You can still modify the offer, but you can’t delete it.
Accept the offer and create an employee profile
Once a candidate accepts the offer, you can complete the hiring process in Personio. Follow these steps:
- Click the relevant candidate to open their profile.
- Go to the Offer tab and click Offer accepted.
- In the window that appears, fill in these mandatory attributes: Hire date, First name, Last name, Email, Employment type, and Weekly hours. Personio uses this information to create the new employee profile. If you added any of these attributes when creating the offer, then the respective fields appear prefilled.
- If the job has multiple openings, select whether you want to fill an opening. If you’ve completed all hiring for the job, you can archive it. Learn more about the consequences of these actions.
- Hire the candidate.
Personio automatically creates a new employee profile with the status Onboarding. The profile contains the attributes you just added, explained above. It also adds any attributes you entered in the offer—these attributes override any ones of the same value from the candidate profile.
Personio doesn’t transfer any salary data from the job to the new employee profile. You need to enter this information manually after you confirm the hire. You can also fill in other missing attributes manually.
