This article explains how to create and manage an employee's one-time compensation.
One-time compensations are non-recurring financial payments, such as signing bonuses or severance packages. One-time compensations are displayed in the Compensation tab of an employee's profile and can be added there.
One-time compensation types need to first be created on the Compensation settings page, and can then be edited there.
Before you start
To manage or view salary components in Personio, you need permissions for the employee’s salary information.
Create and manage one-time compensation types in the Settings
You need to create your one-time compensation types in the Settings before you can add them into an employee's profile via the Salary tab. In the Settings, you can also rename and delete one-time compensation types.
Tip:
Use filters and sorting to manage your compensation types. Sort or filter by type, name or created date, and use the search bar to quickly find what you need.
Note:
To create and manage one-time compensation types from the Settings, you need to either have administrator rights or edit rights for Account configuration > Payroll.
Create a one-time compensation type
Follow these steps to create a one-time compensation type in the Settings:
- Go to Settings > Payroll > Compensation.
- Click on Create New and enter a name for the compensation.
- Choose the Payout Frequency One-Time.
- Save your entry.
Rename a one-time compensation type
If you rename a one-time compensation type, the new name will be reflected in the whole tool. To do this, follow these steps:
- Go to Settings > Payroll > Compensation.
- Click on the one-time compensation you want to rename.
- In the drawer, click the three dots in the top right corner and select Rename.
- Enter the new name and save your changes.
Delete a one-time compensation type
To delete a one-time compensation type, follow these steps:
- Go to Settings > Payroll > Compensation.
- Click on the one-time compensation you want to delete.
- In the drawer, click the three dots in the top right corner and select Delete.
- Confirm the deletion and click Delete again.
Note:
If you delete a one-time compensation type, the change will be reflected retroactively in the whole tool. The compensation will be removed from all employee profiles. The history of all payments under this compensation type will be removed retroactively, and the compensation type can no longer be paid out.
Archive a one-time compensation type (coming soon)
To archive a one-time compensation type, follow these steps:
- Go to Settings > Payroll > Compensation.
- Click the one-time compensation you want to archive.
- In the drawer, click the three-dots icon in the top right corner and select Archive. Confirm your choice.
The archived compensation is now not available for new assignments, but existing assignments are not affected.
Add and delete one-time compensations in the employee profile
In the Compensation tab of the employee profile, you can add and delete one-time compensation payments for individual employees.
Note:
To manually add and delete one-time compensations in an employee profile, you need to either have administrator rights or edit rights for the employee's salary information.
Add one-time compensation for an employee
To add a one-time compensation for an employee, follow these steps:
- Go to the employee's profile. Click Compensation.
- Click Add and select One-time compensation.
- Select the relevant compensation.
- Enter the necessary information and save.
The new one-time compensation is now part of the compensation breakdown table.
Delete a one-time compensation for an employee
To delete a one-time compensation for an employee, follow these steps:
- Go to the employee's profile. Click Compensation.
- Click Breakdown.
- In the relevant row, click the one-time compensation.
- Click the bin icon. Confirm your choice.
Add one-time compensation entries via an import
To reduce the amount of data that needs to be entered manually, you can also add individual one-time compensation payments for employees via an import. Before doing so, you'll need to create your one-time compensation types.
