Create and Manage One-Time Compensations

 

This article explains how to create and manage an employee's one-time compensations in the employee's Salary tab, through an import, and in the Settings.

 

What are One-Time Compensations?

One-time compensations are non-recurring financial payments, such as signing bonuses or severance packages. One-time compensations are displayed in the Salary tab of an employee's Profile.

One-time compensations can be created and edited on the Additional Compensation settings page. They can also be created in the Salary tab of an employee's Profile or via an import.

 

Create One-Time Compensations

You can either create one-time compensations in the Settings, by manually adding them in the employee's Profile, or by importing them in bulk. 

 

Create One-Time Compensations in the Settings

Follow these steps to create a one-time compensation in the Settings:

  1. Go to Settings > Payroll > Additional Compensation.
  2. Click on Create New and enter a name for the compensation.
  3. Choose the Payout Frequency "One-Time"

  4. Click on Confirm.

Note: To create one-time compensations from the Settings, you need to either have administrator rights or edit rights for Account configuration > Payroll.

 

Create One-Time Compensations in the Salary Tab

To manually add a one-time compensation for an employee, follow these steps:

  1. Go to the employee's Profile > Salary Tab.
  2. In the column for one-time compensations, click in the relevant one-time compensation cell, then click on Add.one-time-compensation-salary_en-us.png
  3. Select an existing payment type, or create a new type, such as “Referral Bonus”. Enter the corresponding amount and optionally a comment that provides details about what the payment is for.

  4. Click Create to save the compensation.

Once you add the compensation, you will see a tooltiptooltip-icon-en-us.png next to the one-time compensation that shows the details from the comment. Every new one-time compensation you create in the salary tab will also be visible as a compensation in the settings page under Settings > Payroll > Additional Compensation.

Note: To manually create one-time compensations in an employee's Profile, you need to either have administrator rights or edit rights for the employee's Salary information.

 

Create One-Time Compensations via an Import

To reduce the amount of data that needs to be entered manually, you also have the option of creating and importing one-time compensation payments.

Note: To create one-time compensations via an import, you need to have administrator rights for the account.

Manage One-Time Compensations in the Settings

Once one-time compensations are created, you can manage them in the Settings. There, you can view all one-time compensations existing in your account, as well as rename and delete them.

Note: To manage one-time compensations from the Settings, you need to either have administrator rights or edit rights for the section Payroll in the Settings.

 

Rename One-Time Compensations

If you rename a one-time compensation, the new name will be reflected in the whole tool. To do this, follow these steps:

  1. Go to Settings > Payroll > Additional Compensation.
  2. Click on the one-time compensation you want to rename.
  3. Click into the Name field and rename the compensation.
  4. Click on Save.

 

Delete One-Time Compensations

To delete a one-time compensation, follow these steps:

  1. Go to Settings > Payroll > Additional Compensation.
  2. Click on the one-time compensation you want to delete.
  3. Click on the Delete button on the upper right.
  4. Click on Delete to confirm that you want to delete the compensation.

Note: If you delete a one-time compensation, the change will be reflected retroactively in the whole tool. The compensation type will be removed from all employee profiles. The history of all payments under this compensation type will be removed retroactively, and the compensation type can no longer be paid out.
