Recruiting role access rights and what they mean

This article explains the different rights that can be attached to recruiting roles, and what effects these have. To create roles and to manage the associated access rights, go to Settings > Recruiting > Recruiting > Roles. Learn more about Setting up recruiting roles.

Access rights can be assigned to each recruiting role for the ten categories shown in the screenshot below.

Currently, users can be assigned either viewing or editing rights for the various categories. There are no proposal rights for recruiting roles. Roles can be assigned for entire job positions or for individual candidate profiles. This selection affects the scope of the access rights.

The following table explains what the various rights mean for each of the available categories:

Category	View	Edit
Position	Positions assigned to the user can be viewed, but their configurations cannot be changed. The right does not automatically allow users to view candidates for the respective position.	Positions assigned to the user can be edited, deleted and published on both the career page and on external job boards. Users assigned to the position can create applications for this position.
Candidate	Candidate profiles can be viewed, but access is limited to the Overview tab in the candidate profiles for which access has been granted.	Candidates assigned to the user can be transferred to a different section or another phase of the application process. Feedback and evaluations can be requested from others. Applications can be deleted in their entirety. Candidates can be rejected.
Messages ⚠️ Access rights for incoming and outgoing attachments in messages are controlled via the Candidate documents	Messages to and from candidates assigned to the user can be viewed in the Messages tab.	Messages can also be sent to assigned candidates.
Interviews	Scheduled interviews can be viewed together with the candidate's details.	Scheduled interviews and interview participants can be edited, and new interviews can be scheduled.
Offers	Offers made to candidates can be viewed.	New offers can be created, existing offers can be edited. Documents associated with offers can be downloaded or removed. Candidates can also be converted into employees by accepting an offer.
Comments	All existing comments on candidates assigned to the user can be viewed (both their own comments and those from other employees).	Comments can be added, and existing comments can be viewed, including those created by others.
Evaluations	All evaluations of candidates assigned to the user can be viewed.	New evaluations can be created.
Tags	Existing tags and their due dates, if applicable, can be viewed next to the candidate’s name.	Tags can be created and assigned. Existing tags can be deleted.
Profile (These attributes are defined under Settings > Recruiting > Recruiting > Attributes)	Information stored for the various attributes in the assigned section (Candidate profile and/or HR information) can be viewed. ⚠️ In the candidate profile, the attributes of both sections are displayed collectively under Candidate information. Attributes for which there is not at least a viewing right assigned cannot be viewed by the employee.	Information for the various attributes in the assigned section (Candidate profile and/or HR information) can be added, edited and deleted.
Candidate documents	Documents in the candidate profile can be viewed and downloaded. Click here for more details.	Documents in the profile can be deleted, and renamed. The document category can be edited. Learn more about Managing candidate documents. The user also has the right to upload new documents and to request e-signatures.

Note
The hierarchy of rights is structured from left to right, for example, editing rights automatically comprise viewing rights.
