This article provides a summary of permissions in the Recruiting app. You can grant your employees access to different areas of Recruiting based on their roles and responsibilities. You can also define their level of access.
Option 1: Give an employee access to the entire Recruiting app and its settings
Who is this for?
This option is for employees who manage all aspects of recruiting at your company. For example, your lead internal recruiter.
This is the highest level of access in the Recruiting app. With this option, the employee can see and edit all information in the Recruiting app. They also have full access to the Recruiting settings.
How do I grant these permissions?
To grant these permissions, follow these steps:
- Go to Settings.
- In the Organization section, click Roles & permissions.
- Select an existing role from the list, or create a new role.
- Click the Permissions tab.
- Under Configurations, open Account configuration.
- Check the box for Recruiting.
- Save your changes.

Option 2: Give an employee access to the entire Recruiting app
Who is this for?
This option is for employees who are regularly involved in your recruiting process. For example, an HR manager or junior recruiter.
If you want the employee to receive certain notifications, you should also assign them a recruiting role (see options 3 and 4).
With this option, the employee can access the Recruiting app. Depending on the level of access you define, they can also make changes.
How do I grant these permissions?
To grant these permissions, follow these steps:
- Go to Settings.
- In the Organization section, click Roles & permissions.
- Select an existing role from the list, or create a new role.
- Click the Permissions tab.
- Under Configurations, open Recruiting.
- Choose the level of access:
▶︎ View: The employee can access Recruiting from the main navigation bar in Personio. They can see open jobs and candidate profiles.
▶︎ Edit: The employee can create, edit, and promote jobs. They can schedule interviews, message candidates, access metrics, and more. - Save your changes.

Option 3: Give an employee access to an entire job
Who is this for?
This option is for employees involved in the recruiting process for a specific job. For example, the manager of a team involved in the selection process of a new team member.
Employees with these permissions can access the Recruiting app from the main navigation bar. The employee can see all applications for the relevant job. They also receive notifications and tasks regarding the applications. You can define which notifications they receive.

To grant these permissions, follow these steps:
- Create a recruiting role.
- Assign the recruiting role. You do this by adding the employee to the hiring team for the job.
Option 4: Give an employee access to an individual application
Who is this for?
This option is for employees who support the recruiting process with a specific task. For example, a team member who is invited to the interview to assess if the candidate is a culture fit.
Employees with these permissions have access to an individual application. You assign these permissions via a recruiting role. With recruiting roles, you can define the level of access for different areas of the Recruiting app. Learn more in our dedicated article.
They also receive notifications and tasks regarding the applications. You can define which notifications they receive.
How do I grant these permissions?
To grant these permissions, follow these steps:
- If you haven’t already done so, create a recruiting role.
- In Recruiting > Applications, go to the specific application and open the candidate profile.
- Go to the Access tab.
- Add the relevant employee and select the appropriate recruiting role.
- Save your changes.
Option 5: Grant an employee exclusive access to the Metrics tab
Who is this for?
This option is for employees who need access to Recruiting metrics, but not to any other aspects of Recruiting. For example, a Data Analyst at your company.
You can define the level of access for each Metrics tab section. For example, you might grant an employee access to Offers but not Disqualification.
How do I grant these permissions?
To grant these permissions, follow these steps:
- Go to Settings.
- In the Organization section, click Roles & permissions.
- Select an existing role from the list, or create a new role.
- Click the Permissions tab.
- Under Configurations, open Recruiting metrics.
- Define the permissions for the different sections.
- Save your changes.
