You can grant your employees access to different areas of the Recruiting app depending on their roles and responsibilities. Some employees need a comprehensive level of access, for example, your lead recruiter. Others need only limited access, for example:
- You might grant an employee access to a specific application if they’re on the interview panel for that candidate.
- Likewise, you might grant a team lead access to a specific job if they’re involved in the selection process for a new team member.
If an employee has access to Recruiting but not to any applications, it’s probably because:
- They have access to an application that’s now anonymized, or
- They have access to a job that’s now archived.
This can cause confusion for the employee and create extra administrative work for you. We’ll explain how to check the points above and how to revoke the employee’s access to Recruiting.
Before you start
To troubleshoot the issues in this article, you need Administrator permissions.
Check whether the application they have access to is anonymized
The employee might still have access to an application that's now anonymized. This is why they can still see Recruiting. They can also access the job details. What they see in the job details depends on their recruiting role permissions.
- Log in as the employee.
- Go to the Jobs list and click on the job that is visible.
- Go to the Applications tab.
- If the pipeline is empty, set a filter for “Application status contains Anonymized.”
- If the employee still has access to any anonymized applications, they appear here.
If no anonymized applications appear, check if the employee has access to archived jobs.
Revoke access to an application
You can’t see the names of anonymized applications. Therefore, it can be difficult to find the application that you want to revoke an employee’s access to. Ask the employee to copy the link of the profile they still have access to and send it to you.
To revoke an employee’s access to an application:
- Go to the relevant application.
- Open the Access tab.
- Click the edit icon and remove the employee.
If this application was the employee’s only point of access, they no longer have access to Recruiting.
Check whether the job they have access to is archived
The employee might still have access to a job that's now archived. This is why they can still see Recruiting. They can also access the job details. What they see in the job details depends on their recruiting role permissions.
- Go to Recruiting > Jobs.
- Set a filter for “Job status equals Archived.”
- If the employee still has access to any archived jobs, they appear here.
Revoke access to an archived job
To revoke an employee’s access to an archived job:
- Go to Recruiting > Jobs.
- Set a filter for “Job status equals Archived.”
- Click the relevant job to open the job details.
- Open the Overview tab.
- Under Hiring team, click the edit icon and remove the employee.
If this job was the employee’s only point of access, they no longer have access to Recruiting.
