When creating a time off policy, you can select from a wide range of templates. These templates are pre-filled with common settings for the time off type.
Using templates can save you time and help ensure compliance with local regulations. We offer two types of templates: country-specific and general guidance templates.

Personio provides templates for guidance only. Review and adjust them to ensure your policies comply with local legal requirements.
Before you start
- To create time off policies and use the templates, you need edit permission to the Account configuration > Time off section.
- We don't recommend using other countries' templates, as they might have a calculation logic that doesn't apply to your country.
General guidance templates
For all categories of time off categories, you can select a General guidance template. These templates contain the most commonly used settings for that specific category. They’re not country specific.
Country-specific templates
You can select a policy template based on location for the following time off categories:
- Childcare
- Family care
- Maternity or parental leave
- Sick leave
- Vacation (paid)
Each template is tailored to the country you select and you can edit each of the settings. If you have specified a country for your workplaces, these appear first.
Country-specific rules
The German and Dutch templates for the vacation (paid) category contain special fixed rules, that you can only access and use by selecting these templates.
Germany
The German template for the vacation (paid) category contains two specific rules:

Handling of leave periods:
For each full calendar month that a person takes off, their entitlement reduces accordingly, and their accruals are paused until they return. -
Termination in 2nd half of the year:
If a person leaves after working at least six full calendar months and within the second half of the year, they are granted full annual entitlement. Otherwise, the amount of entitlement will be prorated according to the policy proration settings.
Netherlands
This template enables entitlement groups, allowing the setup of statutory and non-statutory entitlements with different carryover expiration dates.
