When creating or editing a performance review cycle, you can add different review types as activities for the cycle participants:
- Manager Review: Employees receive feedback from their supervisors. Supervisors can provide performance ratings within the review if you enable the feature.
- Self Review: Employees assess their own performance.
- Peer Review: Employees assess the performance of their peers.
- Upward Review: Employees assess the performance of their supervisors.

Before you start
To manage reviews, you need to:
- Be a Personio Administrator.
- Have edit permissions for cycles and cycle reviews.
Assign upwards or peer reviews
When you add peer reviews to a cycle, you can either nominate reviewers or let participants choose their own reviewers.
You can also nominate reviewers for upward reviews. To do this, enable manual nomination when configuring the cycle.

Edit reviews
Whether you can edit a review depends on the review status and the cycle status.

| Closed review cycle | After a review cycle closes, the status of a review changes to Locked, and you can't edit it anymore. |
| Review in draft | A review that is still in draft can be edited at any time. See below how to edit a review. |
| Submitted and shared review |

| Decline peer or upward review requests | Declined peer or upward review requests stay declined for the rest of the cycle. No one can reactivate them. |
To edit a review that has not been sent, or that has been sent and unlocked, follow these steps:
- Go to Performance > Feedback.
- If the review is still in draft: under Tasks, click the relevant review.
- If the review is submitted and unlocked: click Your performance, select For others, and click the relevant review.
- Make the necessary changes in the relevant form fields. Your changes automatically save.
Manage sharing settings
After submitting their reviews, employees can share them with the appropriate people. You decide the rules and options for sharing at different levels.
1. Manage general sharing and confidentiality settings
Under Performance > Manage > Sharing and confidentiality, you can decide who sees shared reviews:
- Only the direct supervisor.
- The supervisor's supervisor and any subsequent supervisors, along the whole reporting line.
These settings still apply when you set sharing options at the cycle level.
2. Manage sharing settings in a live cycle
You set sharing and confidentiality rules when adding or editing review activities in a cycle.
To edit sharing settings, follow these steps:
- Go to Performance > Review Cycles.
- Click the name of the relevant review cycle.
- The cycle details page opens. Click the three dots icon and select Edit review cycle.
- Click Setup, then click Sharing.
- Edit the sharing settings as needed.
Be aware of the following when changing sharing settings on a live cycle:
- Changing from Share together to Share individually immediately grants employees access to all peer and upward reviews that have already been submitted and marked as shared.
- Changing from Share individually to Share together prevents employees from accessing future peer and upward reviews until the manager review is shared. Reviews already shared with employees remain visible.
- Turning on Hide reviews from managers immediately hides the selected review types from supervisors who haven't yet submitted their manager review. Supervisors who have already submitted retain full access for those team members.
- Turning off Hide reviews from managers immediately grants all managers access to the previously hidden review types. This applies regardless of whether they've submitted.
Share reviews or bundles
Note that you can write and share reviews even after the activity ends and as long as the cycle is live.
To enable managers to share reviews or bundles, follow these steps:
- Go to Performance > Review Cycles.
- Select one or more employees from the list.
- Click Allow managers to share reviews. Confirm your choice.
Once you've allowed sharing reviews, you can also share them directly.
- Select the relevant employees.
- Click Share manager reviews. Confirm your choice.
Personio shares all submitted reviews, or all bundles, with the relevant employees.
Export a single review
You have the option to export a single review to the employee's Documents tab, or to download it as a PDF file.
Notes
▶︎ Reviews that haven’t been shared with the reviewees cannot be exported to their Documents section.
▶︎ Reviews that have been shared confidentially show n/a in the reviewee name field of the pdf.
- Go to Performance > Review Cycles and click the name of the relevant review cycle.
- The cycle details page opens. Hover over the relevant employee and click the icon next to it.
- The performance details page opens. Click the arrow next to the relevant review.
- Click the export icon at the top of the page.
- Choose whether you want to export the selected review only or all the employee's reviews in the cycle in one document.
- Choose to export the review to the employee's Documents tab, download it as PDF, or both. Select the relevant checkboxes. Note that the export to the Documents tab only contains the data that's been shared with the employee.
- Click Export.
Export all reviews
You can export all reviews for any participant to their Documents tab. This might be useful for performance audits or end-of-year reviews.
- Go to Performance > Review Cycles and click the name of the relevant review cycle.
- The cycle details page opens. Select the relevant employees.
- Click Export all reviews.
Personio saves each employee's reviews in a single document in their Documents tab.
The document only contains the reviews that have been submitted and shared with the employee. It does not contain confidential information (for example, performance notes).
