This article explains how to manage Personio Assistant for your organization. Administrators access advanced analytics and reporting capabilities beyond the standard employee features. Personio Assistant can help spot trends and highlight areas of concern. It can also suggest ways to improve HR practices, acting as a partner for various HR-related tasks.
Note:
Personio Assistant doesn't answer questions about how to use Personio features. For help with Personio features, use Support AI on the Support page.
Before you start
- Administrators have automatic access to Personio Assistant.
- You can enable Personio Assistant at a global level. Go to Settings. In the Account & support section, click AI features and enable General access.
- Personio Assistant provides data based on each user's permissions. Attribute-level permissions control this access. Administrators see advanced analytics and reporting data. Other users see only the data their permissions grant. We recommend granting Personio Assistant access to HR managers and high-level executives.
Activate Personio Assistant for employee roles
To activate Personio Assistant for specific employee roles (this feature is currently in beta), follow these steps:
- Go to Employee roles > Permissions.
- Grant View rights under Configurations > Personio Assistant.
Enable third party applications in Personio Assistant (Admins)
Administrators can connect Personio Assistant to approved third-party applications like Confluence or Microsoft Sharepoint. These connections help Personio Assistant answer employee questions using content in those tools. To enable third-party applications in the Personio Assistant, follow these steps:
- Go to Settings.
- In the Account & support section, click AI features.
- Ensure General access is enabled for AI features.
- Next to Assistant, enable the connections for the relevant third party integrations.
- Apply the changes.
Once you enable Personio Assistant for Employees, they can connect the approved third-party applications in their Personio Assistant.
Connect a third party application to Personio Assistant (Employees)
If your Admin has enabled third-party integrations, you can connect Personio Assistant to the available applications to help answer your questions. To connect an application, follow these steps:
- Open Personio Assistant and click Tools.
- The approved applications appear as available connections.
- Click Connect next to the relevant integration.
- Click Allow access to authenticate and enable the connection.
The application appears as connected in the Tools section of Personio Assistant. Repeat the steps above for all integrations you want to connect.
Revoke access to third party applications in Personio Assistant
To remove Personio Assistant's access to a connected third party application, follow these steps:
- Open the Personio Assistant.
- Click Tools.
- Click the bin icon next to the connected application.
If you want to use that integration again later, you'll need to authenticate and connect it again.
Understand analytics and reporting capabilities
By pulling relevant HR data and analytics from Personio, Personio Assistant can:
- Provide actionable insights that help you make data-driven decisions for your HR strategy.
- Create custom reports with interactive and shareable charts or tables.
- Answer common questions you have about your employees faster.
- Help with follow-up tasks like drafting emails or social media posts based on the data it provides.
- Answer questions about specific employees and organizational data.
Personio Assistant uses available attributes and data within Personio to provide insights including:
- Workforce metrics (headcount, workplace distribution)
- Attrition and employee turnover
- Employee retention and tenure
- Absenteeism rates
- Capacity and resource distribution
- Salary and compensation
Personio Assistant doesn't have direct access to comprehensive HR knowledge. It cannot independently research HR topics or provide in-depth, country-specific knowledge of HR laws, regulations, and best practices. You should always consult HR experts, labor law resources, or authoritative government sources for these topics.
