This article explains how to manage employee referrals in Personio. It covers how to access new referrals in Personio, how to manage the candidate profile, and options for reporting.
First, you need to set up employee referrals. With this feature, employees can refer candidates for job vacancies at your company.
Before you start
Personio treats referred applications the same as regular applications. You can access referred applications if:
- You’re a member of the hiring team for the specific job.
- You have specific access rights through a recruiting role.
- You have general access rights to the Recruiting app.
Access employee referrals
There are two ways to access your employee referrals. These are explained below.
Via email notification
Note:
Your Administrator needs to enable email notifications about new referrals manually.
You receive an email notification when an employee submits a new referral. You can access the referral by clicking the button in the email. This brings you to the candidate profile.
Via the Application List
When you set up employee referrals, a new default view appears in your Application List. This view is predefined and ready to use. It shows all applications that came in through the Referrals channel.
This feature helps you get an overview of all referred applications. You can add filters to narrow down the information further. For example, you can use filters to check all referred applications for a specific position or department.
To view your referred applications:
- Go to Recruiting > Applications.
- Click the Views bar on the left.
- Select Referred applications
Manage the candidate profile
When an employee makes a referral, Personio automatically creates a new candidate profile. After the candidate profile is created, you treat the application the same as other applications.
If the candidate’s CV is included in the referral, Personio automatically parses it, as with other incoming applications. All referred applications come from the Referrals recruiting channel, making it easier to filter the data and gain insights.
The referral reason from the submission form appears as a comment in the candidate profile. You can also find the name of the referrer in the Profile tab under Candidate information.
Access data on employee referrals
All employee referrals come from the Referrals recruiting channel. This is a system channel that Personio creates automatically when you set up the employee referrals feature. Having the applications assigned to this specific channel allows you to gain insights.
You can use the Insights tab for a range of metrics related to employee referrals. For example, you can view the number of referred applications in a given period or check how employee referrals perform in comparison to other channels.
