This article provides an overview of the Projects feature in Personio Conversations and explains how to use the feature.
What is the Projects feature for?
The Projects feature allows you to group related requests into projects. This is useful for tasks that involve many requests, for example, organizing a company-wide team event. By adding requests to a project, you will have an overview of everything that needs to be done and can keep track of progress.
Access rights
Each project must be assigned to one team, who is then responsible for it (the owner team). However, requests in a project can be assigned to teams that are not the owner team.
Owner team
Only experts who are a member of the owner team can do the following:
- Access the project in Conversations
- Create new requests directly in the project
- Assign existing requests to the project (experts can do this in the Info tab of the request)
- See an overview of all of the requests in the project, who is working on them, and their status.
Note
An expert can only see the content of another team’s request if they are also a member of that team. - Mark the status of the project as open or closed
Tips
Occasionally, you may want to create a project that involves employees from different teams across the company, for example, an end-of-year celebration.
▶︎ If you want all of the employees to be able to access the project and its requests, then you can create a new temporary team in Conversations (for example, “End-of-Year Party Team”), add the relevant experts to it, and then create the project and assign it to this temporary team.
▶︎ You can create a temporary Slack channel (called, for example, "End-of-Year Party") and link it to Conversations. Experts can then convert queries that are sent within this channel into requests and assign them to the project.
Requests owned by other teams
If a request is relevant to a project, then experts can assign that request to the most appropriate team—this does not need to be the owner team for that project. Any expert with access to the request can do this.
Note
Experts with access to a request in the project can remove that request from the project.
Example
There is a project named “Team Building Event” and the owner is the HR team. An employee submits a request about organizing catering for the event. The HR team assigns this request to the Workplace team, as this team is responsible for catering. Members of the Workplace team can then work on this request and see the name of the project it is assigned to, however, the project does not appear in their dashboard and they cannot access the project. Only members of the owner team can view and access the project.
Create a project
To create a new project, follow these steps:
- From Personio, go to Conversations > Work > Projects.
- Click the plus icon
at the top right.
- In the dialog that appears, give the project a name and assign it to a team.
Note
You can only assign the project to teams that you are a member of. - Click Create project.
Create a new request in a project
To create a request in a project, follow these steps:
- From Personio, go to Conversations > Work > Projects.
- Select the project to which you want to add a request.
- Click the plus icon
at the top right.
- In the dialog that appears, fill in the following information:

Choose the requester Use the drop-down menu to select a requester or type their name in the search bar to find them Assign a team Use the drop-down menu to select the most relevant team to assign the request to. Only teams that you are a member of will appear. Title Enter a title for the request Description Enter a description for the request - Click Create request.
Add or remove an existing request
You can add or remove an existing request from the request list and also from the request detail.
From the request list
To add a request: Click the three dots icon on the request card and select Add to project.
To remove a request: Click on the project name at the bottom of the request card and select Remove from project.
From the request detail
To add a request: Click on the Info tab and then click on the Project button to select a project.
To remove a request: Click on the Info tab and then click on the Project button to remove the project.
