This article explains how to request an absence and change already submitted requests.
If you can't see or request a specific absence type, ask your company's Personio Administrator to follow the steps in our dedicated article. Follow the steps below to request any kind of time off, including holidays, paid leave, and sick days
- Go to Calendars.
- Optional: Check your absence balance and use the dropdown menu in the top-left corner to check your colleagues' planned time off.
- Click Request absence and fill in the details of your absence.
- Depending on your company's policies, you might need to upload a certificate for sick days or specify a substitute.
- Submit the request.
- If your request needs approval, it appears as pending in your calendar until reviewed.
- As soon as the request is reviewed, you receive a notification via email. If the request is approved, your absence balance updates immediately.
Tip
If you're requesting time off for an absence type with no maximum limit, and you don't know when you'll be back, leave the end date blank. You can update it when you return. This is helpful when requesting sick days.
Update or delete a request
If you change your mind, you can cancel or update a request anytime after submitting it. Follow these steps:
- Go to Calendars and select the Me view in the dropdown menu on the left.
- Use the arrows to find and click the planned absence in the calendar.
- Delete or update the request, depending on your needs.
- If you're updating the request, make the needed changes and confirm them.
- If your request needs approval, it will revert to pending until it's reviewed again.
Request time off on behalf of a colleague
If you have the necessary access rights, you can also request time off on behalf of another employee. Follow these steps:
- Go to the relevant employee profile > Absence.
- Click Request absence and fill out the details of the absence.
- Submit the request to trigger the usual approval workflow. Depending on your rights, you might be able to skip the approval and approve the absence right away.
