This article explains the concept of My reports and My direct reports in Personio, and how they both relate to access rights. 

Note
The My reports, Custom and All access areas do not include the employee's own data. If you want an employee to have access to their own data, you need to select the Own access area in addition to the relevant access area. 

My reports

The concept of My reports relates to the My reports access area within access rights in Personio.

This access area gives employees who have been set up as supervisors access to the data of all employees who are directly or indirectly assigned to them.

Example:

The following extract of the Orgchart view shows the access area of the supervisor Felix Posch, if the option My Reports has been activated for him:

In this example, Felix Posch has access to his reports' data (Andreas Greif, Nora Haverkamp, Nora Maele and Susi Kaiser), but he does not have access to the data of Susan Holt and Leonard Marmann, neither to his own data. 

My direct reports

The concept of My direct reports is similar to the concept of My reports one, only that includes all employees who report directly to that employee. In Personio, the concept of My direct reports is only present when setting up reminders. 

Example:

The My report access area vs other access areas

Example: You give Felix Posch access to the Own access area

Felix has a role in which the access right Own has been activated. This means that the assigned right only relates to the person's own data.

Example: You give Felix Posch access to the All access area

Felix has viewing/proposal or editing rights for all employees. Since the access right All was selected, without Own also being activated, he has not been granted access to his own data.

Example: You give Felix Posch access to both the All and the Own access area

If Felix is to be able to view and edit both all employees' data and his own data, he also needs to be granted access to his Own data.

Example: You give Felix Posch access to the My Reports access area 

Felix is the direct superior of Andreas and Nora H. He has access to his direct reports as well as to the indirect reports Nora M. and Susi.

Example: You give Felix Posch custom access rights (Department = Finance)

In this example, the access area Custom is used. A filter is used to define exactly which areas the access right applies to. In this case, the filter was set to the Finance department.

Example: You give Felix Posch custom access rights (Supervisor = Felix Posch)

This is another example of how the filter for custom access rights can be used. In this example, the access right only applies if Felix is the direct supervisor.
