With Personio Payroll, you can automatically create work certificates and send them electronically to the Federal Employment Agency using the Electronic Accept Certificates function (BEA). The system pre-fills all available employment data from Personio and ensures accuracy and completeness. This significantly reduces the time required for creation. Supported certificate types are:
- Work certificate: Determines eligibility for unemployment benefits
- Certificate of additional income: Evaluates the impact of additional income on unemployment benefits
- Work certificate for international purposes: Confirms German unemployment insurance periods for EU/EEA/Switzerland/UK applications
Each certificate always relates to an individual employee.
Access to create work certificates
To create and send work certificates, use the corresponding function in Personio. You need administrator rights or editing rights for personnel data > Payroll > Company.
Product limitations
The creation of work certificates does not currently support the following cases automatically:
- Mass creation of certificates is not supported: It is currently not possible to create several certificates at the same time.
- Other types of BEA attestations are not supported: Partial unemployment benefit certificate and legal insurance certificate are not available.
Manage work certificates
Create and send a new work certificate
To create and send a work certificate, proceed as follows:
- Go to Payroll > Company (if available) > Reporting.
- Click New Event > Submit Work Certificate.
- Select the certificate that you want to create and confirm the entry.
- Select the employee for whom you want to create the certificate.
- Follow the instructions in the product. Check all pre-filled information and add any missing data to the employee profile. Add additional details and optional information. Note: The input fields are automatically validated and the system ensures that all necessary information is complete.
- Send the work certificate.
After a successful submission, you will receive a confirmation in the Reporting tab.
Edit and delete work certificates
Edit attestations
It is not possible to edit certificates that have already been sent. To update data, create and submit a new certificate.
Delete attestations
Deletion is no longer possible after dispatch. If you have submitted incorrect data, you can correct it by issuing a new certificate. If you do not want to submit a certificate, please contact the Federal Employment Agency.
