This article explains how to manage access to the Org chart and set up export permissions.
Before you start
- To manage access to the Org chart and what an employee can see, you need access to Settings and Employee Roles configuration.
- To see other employees in the Org chart, employees need Public profile viewing rights under Personal data permissions.
- The Org chart People view displays employees using the Supervisor attribute. Additional supervisor relationships use a custom Relations attribute with the Additional supervisor subtype to display dotted-line relationships. The Departments and Teams views display employees using the Department and Team attributes.
- The Org chart filter includes several attributes. If an employee doesn't have permissions to view these attributes, grant extra viewing rights in the corresponding permissions section.
- Only Administrators can hide employee cards from the Org chart.
- The Org chart filter options depend on permissions for each attribute. Filters show employees who meet the criteria and their supervisors, even if supervisors don't meet the criteria.
- Placeholder cards appear when employees have limited permissions. These cards maintain reporting chain visibility. Employees cannot hide these placeholder cards.
- To assign department and team leads, you need Account configuration permission for Departments.
Configure access to the Org chart
To give a specific role access to the Org chart:
- Go to Settings.
- In the Organization section, click Roles & permissions.
- Select the relevant role.
- Click the Permissions tab.
- Under Configurations, click Org chart view and grant the viewing rights.
Assign department and team leads
You can assign up to three leads for each department, sub-department, team, or sub-team. Leads appear on department and team cards in the Org chart. This shows who is in charge of each unit.
An employee can lead multiple departments or teams. They don't need to be a member of the department or team they lead.
Leads appear only in the Org chart. You can use them to visualize your structure correctly. They don't impact other parts of Personio.
To assign leads to a department or team:
- Go to Organization > Org chart.
- Click Views.
- Arrange the chart by departments or teams.
- Click the title of the department or team card you want to edit.
- In the window that appears, click Edit.
- Add a lead.
- Save your changes.
Note:
You can’t import leads. You need to set up your departments and teams and their hierarchy first, then assign leads.
Hide or unhide employee cards
You can hide employee cards from the Org chart if those employees don't have supervisors or reports. When an employee card is hidden, no one in your organization can see it. This can help prevent visual gaps in your organizational structure.
Check if employees are hidden
If any employee cards are hidden, a crossed-out eye icon appears in the bottom-right corner of the Org chart.
Hide an employee card
- Go to the Org chart.
- Click the three-dots icon on the employee card.
- Select Hide from org chart.
Unhide an employee card
- Go to the Org chart.
- In the bottom-right corner, click the crossed-out eye icon.
- From the list, select the employee you want to unhide and click Show.
Configure access to export the Org chart
To give employees access to export the Org chart:
- Go to Settings.
- In the Organization section, click Roles & permissions.
- Select the relevant role.
- Click the Permissions tab.
- Under People data, click Data exports.
- Grant edit rights to People list & Org chart.
