This article provides an overview of the employee profile and the Personal Info tab.
The employee profile
The employee profile stores all employee information in one place. It has different tabs for managing employee data. You can also view the Org Chart, log in as an employee, and manage other employee actions from the profile.
Access the employee profile
To view an employee profile, go to the People list and click an employee's name. This opens their profile. The profile header at the top of the page shows:
- Profile picture: upload and manage profile pictures by clicking the avatar area. If there's no picture, Personio shows the employee's initials.
- Employee summary: see the employee's name, status, hire date, and employment details. These details include position, department, team, supervisor, and workplace.
Manage employee actions
The three-dot menu in the top right of the profile shows employee management actions:
- Rehire this person: rehire former employees by transferring their data to a new profile.
- Manage account: access account settings, including login details. You can also send invitation emails.
- Set a reminder: go to the Reminder tab to create and view automated reminders. Use these reminders for important employee-related tasks, deadlines, or follow-up actions.
- Schedule leave: schedule unpaid, long-term time off for the employee. For example, parental leave or sabbaticals.
- Candidate profile: view the candidate's recruiting profile if they were hired through the Recruiting app.
- Terminate employment: begin the employment termination process with proper documentation and workflow management.
- Delete profile: remove the employee profile and data from Personio forever. You can't reverse this action or restore deleted employee data. If you're unsure about permanent deletion, consider terminating employment instead. Only administrators can delete employee profiles.
View organizational relationships
Click the Org chart icon in the top right of the profile to open the organizational chart. This shows the employee's position within the company structure.
Log in as an employee
Administrators can log in as an employee to see their perspective. This helps test employee experiences and double-check permission setup. To log in as an employee:
- Go to the employee's profile.
- In the top right of the profile, click Login as this employee.
The Personal Info tab
The Personal Info tab is a key tab within each employee profile in Personio. It organizes all employee data into clear sections, making it easy to view, edit, and manage.

To view and edit employee data, go to an employee profile and click the Personal Info tab.
View and edit employee information
The Personal Info tab organizes employee data into sections and attributes. Click a section in the left menu to see the attributes in that section. Each attribute shows its current value and any relevant descriptions.
You can view, propose changes, or edit employee information based on your permissions. Each section shows the permissions someone has for that section.
By default, the Personal Info tab displays active attributes. However, if you have permission to view archived attributes, you can choose to show them via the Active attributes dropdown. Similarly, the Personal Info tab automatically displays attributes that apply to the employee’s legal entity. You can choose to show all legal entity attributes via the Assigned to a person’s legal entity dropdown. Learn more about displaying hidden attributes in the Personal Info tab.
Tip:
Warning and error messages appear when there are data issues that need attention. Numbers in the left menu show how many issues exist in each section.
Set effective date
When updating employee data, you can set when changes take effect. Personio logs the effective date as the application date in the employee history. This ensures correct historical reporting and analytics. You can edit the application date later in the detailed employee history view if you need to.
- Immediate changes: apply updates immediately by selecting Today.
- Retrospective changes: backdate changes to reflect historical accuracy.
- Future changes: schedule updates for future implementation.
- Temporary changes: set time-limited changes that revert on a specific date.
