This article addresses the most frequently asked questions regarding the Personio mobile app.
How do I add projects to time tracking?
You can add a project or subproject to an attendance from the Personio mobile app. You can only add projects and subprojects assigned to you. Go to the calendar icon, add your working hours, and select a project or subproject for the time entry.
How do I see my overtime balance in the mobile app?
You can check your overtime balance in the mobile app. Go to the calendar icon in the navigation bar and tap the balances tab to view your overtime balance. You can also view your overtime balance on the desktop version of Personio by going to the Attendance tab in your employee profile.
How do I get diagnostic information about the mobile app?
You can copy diagnostic information to help troubleshoot issues:
- Open your profile.
- Go to Settings > About.
- Tap the app version number.
This copies the diagnostic information to your phone.
Why do some attributes appear in a different language in the mobile app?
The mobile app shows the same attribute translations as the desktop version. If you don't see a translation, it doesn't exist in Personio.
Is the mobile app included in my plan?
Yes, the Personio mobile app is available to all customers at no extra cost. Learn more about the mobile app for download instructions and how to get started.
Does the mobile app support landscape mode?
No, the Personio mobile app only works in portrait mode. Some screens may rotate depending on your device's settings, but your operating system controls this, not the app.
Why do I only see half-day options when requesting hourly time off in the mobile app?
When requesting time off in the mobile app, switch the All day toggle off to enter a specific start and end time. When All day is on, the request covers your full working day and no hour input is available.
Does two-factor authentication (2FA) apply when logging in to the mobile app?
This depends on your company's settings. If your company uses 2FA, you need to use it when logging in to the mobile app or the desktop version.
Can I restrict what employees can see in the mobile app?
The mobile app is more limited than the desktop version by design. It focuses on day-to-day tasks like tracking time, requesting time off, and viewing basic employee information. Employees cannot access more sensitive areas in the app, like reports, full attendance management, and advanced HR features.
Roles and permissions control what employees can see in the mobile app, the same as on the desktop version. If you have the necessary permissions, you can adjust these in Personio, and any changes apply across both the mobile app and the desktop version.
Why does the mobile app show the previous day's time the next morning?
The mobile app doesn't update automatically in the background and doesn't synchronize in real time with the desktop version. If you leave the app open after clocking out, it can still show the previous day's time when you open it the next morning.
To fix this, after clocking out, close the app rather than leaving it running in the background. When you reopen it, the app loads the latest data correctly.
The desktop version of Personio always shows the correct time regardless of whether you've closed the app.
Can I restrict time tracking to the desktop version and block it in the mobile app?
No. Time tracking permissions apply to both the mobile app and the desktop version at the same time. It's not possible to allow time tracking in one and block it in the other.
If you want employees to track time only through a shared device, use the Entrance App instead. Employees clock in and out using a PIN or QR code without logging in to Personio — you don't need to set up any access rights. If you remove the Edit permission for attendance, employees can no longer add time entries in the mobile app or the desktop version — only through the Entrance App.
How do I control which employees can track time in Personio?
Go to Settings > Roles & permissions, select the relevant role, and update the Attendance data permissions. Under Propose, select Own to allow tracking or remove it to prevent tracking. Changes apply to both the mobile app and the desktop version.
Can I see my team's absences in the mobile app?
The mobile app calendar shows only your own absences and attendances. To view the full team calendar, use the desktop version of Personio.
The mobile app homepage includes a Who's Out Today widget, which shows colleagues who are absent on the current day and how many days until they return. Use the dropdown filter in the widget to switch between views: everyone, your team, your department, or your direct reports. The widget doesn't show absence types.
