Share results using survey reports
Use reports to share the results of your survey across your organization. Each survey report is a customized access to the results. You define the width of results to show, and the depth of analysis available to the viewer.
- Create single, custom reports and share them across your organization.
- Automatically create reports for the supervisors whose team participates in the survey.
Download results as a CSV file
To download the results of a survey as a CSV file, follow these steps:
- In the main navigation bar on the left, click Surveys.
- Click your survey to open the results page.
- If the survey is recurring, select the round for which you want to download the results.
- Click the three dots in the top-right.
- Select Download results from the dropdown menu.Select As CSV.
- Optional: select one employee attribute to include in the CSV file.
- Click Download as CSV.
The file is downloaded as a CSV and can be opened directly in MS Excel or Google Sheets for further analysis. It shows all question types and questions in the columns and all employee names and answers in the rows.
Note
Any questions that have been left unanswered will show as value -1 so take this into account when calculating averages.
To download a picture of the heatmap, go to the heatmap view and click the download button .
Show special characters with Microsoft Excel
In case you open the CSV file with Microsoft Excel, you will notice that any non-English characters (ä, ö, ü, ç, …) are not rendered correctly. To fix this, you can follow these workarounds:
Option 1:
- Open the CSV file using Notepad.
- Click File > Save As.
- In the dialog window that appears, select ANSI from the field Encoding. Then click Save.
- Then open this new CSV file using Excel, and all non-English characters should be displayed correctly.
Option 2:
- In Excel, click File > New.
- Select the Data tab and click the option From Text.
- Then select the CSV file you downloaded from Personio Surveys.
- In the Text Import Wizard, select Delimited, and in the field File origin select 65001 : Unicode (UTF-8).
- Then click Next.
- Select the checkbox Comma and click Finish.
- In the dialog window that appears, click OK.
All non-English characters should now be displayed correctly.
Export results as a .png file
You can export both the list and the heatmap view as a .png file, to share easily. To do so, follow these steps:
- In the main navigation bar on the left, click Surveys.
- Click your survey to open the results page.
- Click either List or Heatmap to select the preferred view. Next to these buttons, click the three dots.
- Select Export as PNG.
Personio exports a picture of the complete view, including all columns and rows, and all the filters you applied to the view.
You can also export the results of a single question as a png file:
- In the results view, click the desired question.
- The question results window opens. On the right, click the three dots icon.
- Select Export as PNG.
Download results as a PowerPoint file
You can download the survey results in a PowerPoint file.
If you are a Survey Admin or have Full results access rights, you can view and download the entire file. if you are a report viewer, you can only export the results that have been shared with you.
- In the main navigation bar on the left, click Surveys.
- Click your survey to open the results page.
- If the survey is recurring, select the round for which you want to download the results.
- Click the three dots in the top-right. Select Download.
- Select As powerpoint and click Download as PPT.
The Powerpoint file is in the language of your Personio account. It shows a table of contents, an overview of the results, details on each question and the heatmap.
Note that any filter currently active on the results dashboard also applies to the PowerPoint file when it is exported.
Tip
