This article explains how to schedule a performance meeting with your employees at the end of a cycle, to discuss their results and plan the next phases of their development.
Note
The option is only available for employees who have a manager review assigned in the cycle, and the cycle is live.
Necessary access rights
The following table explains how different roles and access rights impact the creation of performance meetings.

Access the meeting creation page
To create a performance meeting, you need to access the cycle details page first. To do so, follow these steps:
- Navigate to Performance & Development > Cycles. Click the name of the relevant cycle.
- The cycle details page opens. Under Performance meeting, the participant list shows the status of the performance meeting for each employee:

- Schedule meeting: No meeting has been scheduled.
- Upcoming: The meeting will happen in the future.
- Past: The meeting has happened.
Schedule a performance meeting
When you're in the meeting creation page, follow these steps:
- Click Schedule meeting.
- Input a Title for the meeting. Select Date, Start time and End time.
- Optional: For in-person meetings, add the location under Location. If the meeting is remote, add the link to the virtual conference room under Conference link.
- Optional: Under Description, input a description of the meeting and its purpose.
- Click Schedule meeting. Personio sends an email notification to all participants, and adds an event to their calendars.
Meeting participants
When you create a meeting for an employee, Personio sets you, the employee, and their supervisor as participants.
- To invite additional participants, click the search bar under Add other participants. Search for the employee's name and tick the checkbox next to it.
- To remove an additional participant, hover over the employee name and click Remove.
Tip
Personio automatically adds the participant's sent performance reviews under Links to reviews. They are only visible to Administrators, supervisors, and employees with edit rights for cycles. You can use them to drive the conversation during the meeting.
Edit or cancel a performance meeting
To edit or cancel a performance meeting, you first need to access the meeting's details page:
- Navigate to Performance & Development > Cycles. Click the name of the relevant cycle.
- The cycle details page opens. In the Participant list and under Performance meeting, click the date and time of the relevant meeting.
Edit the meeting
- In the meeting details page, click Edit meeting on the upper right.
- Adjust the meeting details and the participant list as needed. Click Update meeting.
- A window opens asking you to confirm your choice. Click Update meeting.
Cancel the meeting
- In the meeting details page, click the bin icon on the upper right.
- A window opens asking you to confirm your choice. Click Remove meeting.
Personio will send an update email to all participants.
