A survey report provides customized access to the results of a survey. With the supervisor reports feature, you can automatically generate reports for all supervisors of survey participants.
Each report only contains responses from members of the supervisor's team. You can:
- Show responses from direct reports only, or include the supervisor's full reporting line.
- Define the depth of analysis available to the viewer. Add filters, or tools like the heatmap.

- Easily share the survey results with supervisors in your organization.
- Give team supervisors the tools to understand the results, and enable them to drive action based on the insights gleaned from the shared data.
- Customize access to the results, to share only the relevant information while maintaining confidentiality.

Create and publish supervisor reports for one-time surveys
To create supervisor reports for a one-time survey, follow these steps:
- Click Surveys on the left sidebar. Click the relevant, closed survey.
- Click Share results and select With Supervisors.
- Choose whether to include responses from each supervisor's full reporting line.
- Choose a preset configuration ( Standard, Advanced) or customize it. Note that for confidential surveys, confidentiality measures still apply:
▶︎ Enable filtering: select the attributes that viewers can use to filter the results, if they have access rights for such attributes.
▶︎ Enable Heatmap: include the survey's heatmap (only available if you enable filtering).
▶︎ Show open-text responses : include comments and open-text responses in the report. - Click Create and review.
- The survey's reports tab opens. Under All reports, click Supervisor reports to review the list of generated reports and their recipients.
- Click Publish. A window opens asking you to confirm your choice. Click Publish.
The recipients receive an email notification, with a link to the report. The report is also available to each recipient in their surveys overview page.
Tips
▶︎ Personio sends the reports to the relevant supervisors based on the day of the survey's launch. If a team changes supervisor at a later stage, you can update the recipient of the affected report.
Create and publish supervisor reports for recurring surveys
To create and publish supervisor reports for recurring surveys, follow these steps:
1.Create the report
- Click Surveys on the left sidebar. Click the relevant recurring survey.
- Click Share results and select With Supervisors.
2.Select the survey rounds to include in the report
Under Rounds, select which survey rounds to include.
▶︎ Selected rounds : Select specific rounds to include in the report. Personio sends the reports to the relevant supervisors, based on the company hierarchy at the start of each round:
- The reports shows the answers from the supervisors' reports, for the selected rounds.
- These reports do not automatically update over time.
▶︎ All existing and future rounds : Include all closed rounds in the report, on a rolling basis. Personio sends the reports to the relevant supervisors, based on the company hierarchy at the start of each round:
- The reports shows the answers from the supervisors' reports, for all rounds.
- They update automatically at the end of each round, to include the latest data.
If you choose to publish the reports, Personio will automatically publish all future reports at the end of each round. If you prefer not to share the results immediately, you can unpublish the reports and publish them manually when you're ready.
What happens if a supervisor changes team between rounds?
Supervisors only see the results of the teams they supervised at the start of each round. This means that:
- When comparing different rounds, they might be comparing results from different teams.
- New supervisors only see results from the latest round.
- Employees who are no longer supervisors lose access to any report previously sent to them.
Tip
You can edit supervisor reports to allow filtering by team. This makes team changes visible to the supervisors. To enable filters, open the survey's reports table, then click the three dots under All reports > Edit > Configuration.
3.Configure and publish the report
- Under Configuration, choose whether to include responses from each supervisor's full reporting line.
- Configure the report. Note that for confidential surveys, confidentiality measures still apply:

Edit, delete or unpublish supervisor reports
To unpublish, or edit all supervisor reports at once:
- Click Surveys on the left sidebar. Click the relevant, closed survey.
- Under Reports, click Supervisor reports.
- On the right hand side, click the Unpublish button to unpublish all the reports.
- Click the three dots icon. You can:
▶︎ Select Edit. Adjust the configuration as needed and click Save changes. The reports will update regardless of their publication status.
▶︎ Select Delete, and confirm your choice.
To edit a single supervisor report or change its recipient:
- Click Edit next to the relevant report.
- Modify its configuration as needed. If necessary, change the recipient. Note that if you later decide to bulk edit all reports, specific changes made to the single report will be reset.
Explore this feature with sample surveys
You can use automatically generated surveys to explore this feature:
- Under Surveys, click Create sample surveys here, at the bottom of the page.
- At the top of the page, click the Created on filter.
You’ll see three surveys with sample results generated from your employee data, that you can test freely.
