This article gives detailed information and steps to run a compensation cycle as a supervisor with only direct reports, or as a supervisor with direct and indirect reports.
Propose a salary increase for a direct report
- Go to Compensation in the main navigation bar.
- In Compensation review cycles, select the respective open cycle and click Review to access My worksheet, and to propose salary increases for your direct reports who are eligible for a salary increase in this cycle.
- Scroll down to a specific employee, and enter a value for the relevant columns. Learn more about using the compensation worksheet.
- If employees receive a one-time compensation or a target goal bonus, click on the relevant field in the Worksheet to open the drawer and complete the necessary information. Consider the following:
- For employees with an existing one-time compensation or goal bonus at the start of the cycle, you can propose changes to the values of the compensation. However, you can not remove or change the frequency of an existing goal bonus in a cycle.
- For employees without an existing one-time compensation or goal bonus at the start of the cycle, you can propose a new value, including the appropriate payout frequency for goal bonuses.
- Click Submit worksheet. You must enter a value (an increase or a zero) for every eligible employee to submit your worksheet.
Once you click Submit worksheet, you can no longer be able to make additional edits. The submitted worksheet can now be reviewed by your supervisor and the cycle Administrator.
See the total salary increase against the budget
The widget above the table shows the total salary increase given for your reports. If you have been given a budget, you can view how much of your allocated budget you have spent.
You can also view if the budget is based on full-time salaries (100%) or effective salaries (part-time salaries). Even if the budget is based on effective salaries, you can view the full-time salary in the Current salary (100%) column for the employees who work part-time, as salary proposals are submitted based on full-time salary.
Review other supervisors' salary increase proposals
As a supervisor with both direct and indirect reports, you can also review salary increase proposals from the supervisors who report to you:
- Go to Compensation in the main navigation bar.
- In Compensation review cycles, select the respective open cycle and click Manage cycle > Worksheet overview to see the progress on the supervisor's end, and to review their salary increase proposals. The supervisors are listed following the hierarchy of the Personio Org Chart. By clicking on a supervisor, you can view the supervisors below them. The status shows whether the status is still Pending or if the worksheet has been Submitted. If you only want to see the Pending worksheets, enable the Hide submitted toggle.
- Scroll down to a specific supervisor, and click on the Worksheet button to access their individual worksheet, and see a detailed view of their proposed salaries for both their direct and indirect reports. There, you can also find the supervisor's Org budget (for their direct and indirect reports) and the supervisor's Direct report budget (for their direct reports only).
Note
When a supervisor is excluded from the salary proposal cycle, their supervisor takes over managing salary proposals for the excluded supervisor’s direct reports. In the supervisor's worksheet, the excluded supervisor’s direct reports are listed alongside their own direct reports.
Edit other supervisors' salary increase proposals
As a supervisor with both direct and indirect reports, you can also can edit other supervisors proposals from the supervisors who report to you. To do so, follow these steps:
- Go to Compensation in the main navigation bar.
- In Compensation review cycles, select the respective open cycle and click Manage cycle > People list to access to an overview of all employees who are eligible for the cycle, and to actually edit their proposed new salaries. The list displays all the employees whose salaries are being reviewed, and so it also includes the supervisors who are managed by other supervisors.
- Scroll down to a specific employee, and edit the values for the relevant columns.
- Additionally, you can also add a note to the reports' worksheet to provide more context for your adjustments to the initial salary increase proposals. You can edit and delete these notes until you click Submit worksheet.
- Once you have edited all the relevant salaries, click Submit worksheet.
Review reward letters
After the Compensation Review Cycle is completed, the Administrator can create reward letters and share them with the respective employees.
You can then view the letters in your Worksheet if you have at least view access rights to the relevant document category in the employee profile. You can also filter your Worksheet to see which employee received a reward letter.
