This article provides an overview of the HR Management system reports in Personio. To configure each report in line with your needs and to export your data, see the article Configure system reports.
Headcount
The Headcount system report is available to customers on the Essential, Professional, and Enterprise package.
The Headcount report shows the number of employees per month that are in “active” status. Employee numbers are displayed in a color-coded bar chart in the upper section of the report, followed by a table of absolute figures.
Click on one of the absolute numbers to see the detailed view. The report shows, per employee, their name, position, department, team, subcompany, hire date and, if entered, contract end date and termination date. Click on an employee's name to go to their employee profile.
Note
Employees leaving the company are still included in the month that they leave.
FTE (full-time equivalent)
The FTE system report is available to customers on the Essential, Professional, and Enterprise package.
The FTE report shows your employees' full-time equivalent based on their weekly working hours. Note that the report only includes your active employees.
The FTE value is based on an employee's weekly hours and the full-time weekly hours in their department. For full-time employees (example: 40 hours per week), this results in a value of 1 (40h/40h), while for part-time employees (example: 32 hours per week) the value will be prorated (32h/40h = 0.8 FTE).

▶︎ The FTE value always relates to your selected time period.
▶︎ Absences such as vacation or sickness do not affect the FTE value for the period under consideration.
The report includes a color-coded bar chart in the upper section of the report, followed by a table of absolute figures. The absolute figures show the relative FTE values for the individual departments in the month in question. You can click on a specific value to see how many and which employees contribute to the FTE values of the individual departments. The report shows each employee's name, position, department, team, subcompany, hire date and, if entered, contract end date and termination date, and FTE. Click on an employee's name to go to their employee profile.
Birthdays
The Birthdays system report is available to customers on the Essential, Professional, and Enterprise package.
The Birthdays report shows all employees whose birthday falls within the period under review as defined by you.
Your employees' birthdays are listed in a table that displays the following attributes: name, position, department, office, subcompany, hire date, birthday, and the current age of the employee by default.
Clicking on an employee’s name takes you directly to the employee’s profile in Personio.
Hires
The Hires system report is available to customers on the Essential, Professional, and Enterprise package.
The Hires system report shows you all employees whose hire date was or will be in the period that you have defined for the report. The report is displayed as a table of absolute figures, which by default displays the following attributes: name, position, department, office, subcompany, and hire date.
Clicking on an employee’s name takes you directly to the employee’s profile in Personio.
Probation periods
The Probation periods system report is available to customers on the Professional and Enterprise package.
The Probation periods report shows all employees who are on probation during the period as defined by you. The employees on probation are listed in a table, which displays the following attributes: first name, last name, position, department, office, subcompany, hire date, and end of probation period by default.
Clicking on an employee’s name takes you directly to the employee’s profile in Personio.
Terminations
The Terminations system report is available to customers on the Professional and Enterprise package.
The Terminations report includes all employees whose termination date falls during the period under review.
The data is displayed in a table that by default includes the following attributes: name, position, department, office, subcompany, hire date, and termination date.
Clicking on an employee’s name takes you directly to the employee’s profile in Personio.
Ending contracts
The Ending contracts system report is available to customers on the Professional and Enterprise package.
The Ending contracts report includes all employees whose contract ended or will end during the period under review as defined by you.
The ending contracts are listed in a table, which by default displays the following attributes: name, position, department, office, subcompany, hire date, and contract end date.
Clicking on an employee’s name takes you directly to the employee’s profile in Personio.
Employee turnover
The Employee turnover system report is available to customers on the Professional and Enterprise package.
The Employee turnover system report shows your employees' monthly fluctuation (number of employees who have left/number of active employees in the previous month). You can filter this report by reason for leaving and group it by different parameters, such as position.
The report is displayed as a line chart in the upper section of the report, followed by a table of percentages. Click the Show legend button below the line chart to see what data is represented by what color.
