This article explains different errors that can appear when trying to create an interview using the integrated calendar, and provides possible solutions.
General issues with interview scheduling
The interview is not created, updated, or deleted
If you are creating, updating, or deleting an interview in Personio, and the change does not appear in your integrated calendar, it's possible that the data hasn't synchronized yet. In this case, it can help to close the calendar application and reopen it.
If the issue persists, please contact our Customer Support Team via Help > Find answers.
The interview organiser's email address cannot be verified
This error message appears when you try to schedule an interview and the calendar of the Organiser is not synchronized.
Under Settings > Integrations > Calendar Integration, you can see a list of all unsynchronized users. To resolve the issue, follow the steps in our article Troubleshooting: Company Calendar Integration Setup.
The interview could not be planned because the organiser's calendar is set to read only.
To be able to create calendar events, you need to give Cronofy write access to your data. You can adapt the access settings in your Microsoft account. Find more information on necessary permissions in the FAQ section of our article Set up the integration of your company calendar.
After you have modified the access rights, go to Settings > Integrations > Calendar integration and click Sync all employees to apply the changes.
Issues with videoconferencing
A video conferencing provider is not available
If you cannot select your preferred video conferencing provider as the Interview method, the troubleshooting steps depend on the provider:
- GoogleMeet: Ensure that the Organiser of the interview has connected their Google Calendar. Learn how to do this in our article Set up the integration of your company calendar.
- Microsoft Teams/Zoom/GotoMeeting: Ensure that the Organiser of the interview is authenticated for the desired videoconferencing provider. Learn how to do this in our article Set up videoconferencing for interviews.
The employee cannot be selected as the videoconferencing host
If you are trying to schedule a videoconference and the employee cannot be selected as Interview host, check the following:
- Ensure that the employee's calendar is synchronized. Learn how to synchronize employees and rooms.
- Ensure that the employee is authenticated for videoconferencing. Learn how to set up videoconferencing for interviews.
If both of the above are correctly configured, but the issue persists, please contact our Customer Support Team via Help > Find answers.
The employee cannot be authorized with videoconferencing
If the employee cannot be authorized with videoconferencing under Personal settings > Integrations, make sure that the email they are using is unique to them and not shared with another person. You can check this in your Microsoft admin center.
If the issue persists, please contact our Customer Support Team via Help > Find answers.
The Microsoft Teams link could not be generated
If you're scheduling an interview and the videoconferencing link for Microsoft Teams is not generated, your mailbox might have an inactive license. Follow these steps to resolve the issue:
- Log in to your Microsoft account in your browser.
- Create an event with a Teams videoconferencing link.
This should, after some time, activate the license.
The videoconferencing link could not be generated
If you see the error message “The link could not be generated. Please try again.”, try to deactivate and reactivate the calendar integration.
- Go to Settings > Integrations > Calendar integration.
- Select Disconnect integration on the bottom right.
- Click Connect Google Calendar/Office 365/Exchange to reactivate the calendar of your choice.
Two employees are using the same videoconferencing credentials
If you receive the error message that two persons are using the same videoconferencing credentials, ensure that every participating employee has a different account with the videoconferencing provider. For example, if two recruiters use the same videoconferencing credentials, they cannot participate in the same interview.
