This article explains, why some recruiting emails appear in the Unassigned Messages tab in Personio (Recruiting > Unassigned Messages).
There can be two different reasons for emails to appear in the Unassigned Messages:

Use case – no existing application in Personio with the sender's email address
An email is sent to your Personio Company recruiting email address (e.g., yourcompany-jobs@m.personio.de), or the email is automatically forwarded to Personio from your custom recruiting email address (e.g., jobs@yourcompany.de), but there is no existing application in Personio with the sender's email address.
Note 14 days after a candidate has been moved to the phase Rejected, Withdrawn or Accepted, the application is counted as closed.
Example 1: A candidate sends an application to your company's custom recruiting email address, jobs@yourcompany.de. Through your email redirection, this message is automatically forwarded to Personio, but there is no existing application in the system for this candidate. The message will appear in your Unassigned Messages.
Example 2: You have been in touch with a candidate, sending messages from the Personio recruiting section. If the candidate sends a message from a different email address (that is not linked to their application) to yourcompany-jobs@m.personio.de, the email will appear in your Unassigned Messages.
Example 3: A candidate had previously applied for a position but withdrew from the process. They now reapply via email for a different position (more than 14 days have passed since the withdrawal). The old application is considered closed, so the message is not being linked to the previous application but will appear in your Unassigned Messages. -
Use case – more than one application with the sender's email address
An email is sent to your Personio Company recruiting email address (e.g., yourcompany-jobs@m.personio.de), or the email is automatically forwarded to Personio from your custom recruiting email address (e.g., jobs@yourcompany.de), but there is more than one application with the sender's email address.
Example: A candidate has applied for two or more different positions, hence their email address is linked to different positions. If the candidate sends an email to your custom recruiting email address (jobs@yourcompany.de) which is then forwarded into Personio, the email will appear in your Unassigned Messages.
