Performance Feedback

 

This article explains how you can create, manage and export feedback for an employee through the Performance tab, and how employees can use this section to write self-reflection feedback.

 

What is the Performance Feedback?

You can easily track your employees' progress through the Performance tab, located in their employee profile. The Feedback section allows you to write feedback for an employee and enables employees to write feedback for themselves, for self-reflection purposes for example.

Newly created feedback is in the Private Draft status, and only the creator of the feedback can see and edit it. Once feedback is published, it is visible to everyone who has at least viewing rights for this section. The possibility to edit the feedback is only available for the one who created the feedback.

To create new feedback, an employee needs editing rights for the Performance data section. To view the feedback that was written for them, employees need at least viewing rights for their own Performance data

 

How to create Feedback for an employee

Here are the different steps needed to create feedback for an employee:

1. Create New Feedback

To create new feedback for a particular employee, navigate to the employee profile and go to the Performance tab. Then, click on the Add new form button located within the Feedback section.

2. Select a template

A window opens where you can select a template that you would have previously created in the Performance settings

3. Write the feedback

Once you selected a template, you will be taken to the feedback page, displaying the questions of the template you selected and where you can fill the form and answer the different questions.

 

4. Add documents (optional)

You can also add documents by clicking on the Click to upload files button. The documents will then also be added to the employee's Documents tab.

5. Save or publish your feedback

You then have two options: either saving the feedback as a draft or publishing it and making it visible for the employee straight away.

Feedback saved as a draft will only be visible to the person who created it. Similarly, feedback can only be updated or deleted by the person who created it.

Once feedback is published, an email is automatically sent to the employee receiving the feedback and to their supervisor. For more information on the different notifications and reminders, you can have a look at this article.

 

6. Export a feedback form

Once feedback was created, you have the option to download it as a PDF or export it directly in the Documents tab of an employee.

To download feedback as a PDF:

  1. In the employee's Performance tab, click on the feedback you wish to export
  2. Click on the Export button on the upper right-hand corner
  3. Tick the box Download PDF
  4. Click on Continue
  5. The printer configuration window opens. Here, you can either print the document or save it as a PDF.

To export feedback in the employee's Documents tab:

  1. In the employee's Performance tab, click on the feedback you wish to export
  2. Click on the Export button on the upper right-hand corner
  3. Tick the box Export feedback
  4. Click on Continue
  5. The form is sent in the Documents tab of the employee, under the category "Performance". This category is automatically created the first time a feedback form is exported for the respective employee.
