This article answers some frequently asked questions about the custom reports. You can find some basic information about using custom reports here.
Are custom reports only available for employee data, or can I also use them for recruiting?
The reports are currently only available for employee data. However, there are also initiatives in recruiting to better analyze candidate data in the future.
Why is it not possible for me to automate a report?
In contrast to the standard reports in Personio, custom reports allow you to access all data at any time. This makes automatic regeneration, for example on the first of every month, unnecessary. You can customize considered time periods and intervals completely flexible, take relative time periods into account, and display and export data as it stands at any specific point in time.
Will I be able to see all the attribute changes during a time period in the custom reports?
Yes. The custom reports show all attribute changes, provided the affected attributes are included in the report.
Do I have the option of creating an OR filter?
It is not possible to use an "OR filter." However, you do have the option of using several "Does Not Equal" filters.
Why are there empty fields in historical change reports or reports with absence periods?
The custom reports display several entries for each employee, with each entry being displayed below the previous one. What may appear to be blank lines, are simply the spaces between the different data entries or changes for each employee. The employee name always appears in the top line only, and below that, you will see the individual data sets concerning the employee in question, displayed line by line.
Can I obtain the data on an aggregate level (e.g. departmental level)?
The aggregated display of employee data is not possible. All the custom reports show data sets for individual employees. Rather than summarizing data, we want to offer you the highest possible level of flexibility. Of course, you can always export the report into Excel and generate aggregate values there.
Can the access rights to individual reports be restricted?
By granting viewing or editing rights through the Custom Reports subsection, you are giving your employees access to the entire custom report section. They will be able to see all the custom reports and the data they contain regardless of whether they have access to a specific attribute.
If you prefer to only give your employees access to a specific custom report, you can do so via the Sharing options window. For more information, take a look at our article Share a custom report.
