This article describes the functions of the Positions tab, which can be accessed by clicking on Recruiting in the main menu.
This page provides a structured overview of your open positions and application processes.
The Recruiting section includes the tabs Positions, Applications, Unassigned messages and Channels. Depending on how employees' access rights and recruiting roles have been configured, they may only be able to view certain parts of these sections.
Basic functions for managing positions
You can create a new position or add another opening to an existing position by clicking on Create Position. If you intend to fill a position several times, create several openings with different start dates. Learn more about how to create new positions.
You can publish or unpublish a position on your Personio career page by accessing the position details. To do so, click on the title of the respective position.

When you click on Unpublish within the position details, the promotion of the position on external job portals is not disabled. If you want to do this, use this contact form to get in touch with our posting partner.
Job filters (1)
You can use the filter option at the top of the page to limit the overview to the positions that are relevant to you.
Apply the My positions filter to display the positions for which you are involved in the recruiting process. When you click on the Applications tab, this filter is applied automatically.
To display Archived positions, click on the first filter button and select the Archived positions option. You will not lose any data by archiving, and any filled openings can be retrieved again as needed. Click on Show > Archived positions to see an overview of your archived positions. You can also sort the sequence in which positions are shown alphabetically by category, department, office or job title.
Overview of open to-dos (2)
At the top of the page, a quick and convenient list of open to-dos displays an overview of important tasks to perform.
Click on one of the number indicators to be taken to the respective pre-filtered candidate overview with a list of all applicant profiles that require an action on your part.
The following number indicators are displayed:
- The number of prioritized applications with pending to-dos
- The number of applications that have been in a particular stage for too long.
- The number of candidate messages that have not yet been replied to.
- The number of evaluations you haven't read yet.
- The number of comments on candidates you haven't read yet.
- The number of messages currently in your Unassigned messages.
The numbers displayed take any job filters into account. For example, if you have set the My job positions filter, you will only see the open to-dos for the positions you are responsible for.
Click on the different number indicators to be taken directly to the list of candidates. The applications for which an action is required will be marked with a blue dot. Once the action is done (for example, once you reply to the candidate's message), the application will no longer appear in the overview.
Position title and details (3)
Underneath the position's title, you fill find more details about your job such as category, department, subcompany, offices and the number of openings to be filled.
You can edit this information, access the position's details, or promote your job by clicking on the position title. Find out more about the position details.
Promote (4)
You can use the Promote button to advertise your position on external recruiting channels via the promote function. You will be taken directly to the overview of all available job boards to plan and book postings.
Candidate pipeline (5)
The candidate pipeline provides an overview of all applications. You can also see how many candidates are in each recruiting stage. By clicking on the corresponding stage, a list of candidate profiles will be displayed, filtered by the relevant position and the selected stage.
External channels and tracking links (6)
The overview of your tracking links and current postings on external channels makes it easier for you to see the positions you are currently advertising. Click on the tracking links or the link to the current applications to go to the Promote tab within the relevant position.
