How Do I Record an Employee’s Re-entry in Personio?

 

This article explains how to reflect in Personio when an employee re-enters the company. Currently, this can be done in three ways.

Attention Personio Payroll users: Only option A - the creation of a new employee profile - is possible for your account, since a correctly documented history is essential for the communication of payroll relevant data to the authorities. Please contact us if you have any questions

  

Option A: Create a New Employee Profile

Create a new employee profile either by navigating to the Employee list and clicking on Add employee on the top right, or alternatively, by importing new employee data.

When the first employment period ended, the status of the ‘old’ employee profile in Personio automatically changed to inactive. You may need to remove the employee’s email address from the inactive profile, as Personio allows an email address to be used for an employee only once.

Correct record of the start date and no distortion of reports/employee histories

It is not possible to copy the ‘old’ data (however, an entry that points to the ‘old’ profile can be made under Notes)

No distortion of the employee data in the ‘old’ profile

 

 

Option B: Adjust the ‘Old’ Employee Profile Including the Start Date

 Enter the employee’s name in the search field at the top. Under Employee profile > Information, navigate to the blue pen in the Personal data section to set the status to Active. Remove the end date and update the start date and, if applicable, the employee’s position title and supervisor. Under History > Detail view in the Employee profile, check the date from which the changed attributes are applicable.

Option C: Adjust the ‘Old’ Employee Profile Without Updating the Start Date

Perform the same steps as described for Option B, but without updating the start date.
