This article explains how you can schedule and manage applicant interviews. Personio additionally allows you to send calendar invitations to all internal participants in an interview directly from your account.
Creating and Managing Interviews
If a suitable candidate has applied for a job vacancy, you can create and manage your interviews directly in Personio.
Navigate to the candidate’s applicant profile and click on the Interviews tab. Select Add interview and select an interview type to schedule an applicant interview. Enter the interview organizer. The organizer does not necessarily have to participate in the interview, but they must already be defined as the person responsible for the position. Select the employees who should take part in the interview. At this point, each participant needs to be assigned a recruiting role to define the rights they are granted by being invited to the interview. Select the interview status:
- Created: The applicant has not yet confirmed.
- Scheduled: The applicant has confirmed the interview. All internal participants will receive an email invitation to the interview, if the relevant option has been activated in Settings > Recruiting > General.
Please note that no automatic invitation will be sent to the applicant; instead, you need to invite the applicant separately by email.
- Completed: The interview has been conducted.
On the following day of a scheduled interview, each interview is automatically assigned the status Completed, unless the status was manually set to Cancelled previously.
- Cancelled: The interview will not be held at the scheduled time. All internal participants will automatically be sent a cancellation email.
The applicant will not receive an automatic email notification about the cancellation and therefore needs to be advised separately by email.
Add the date, time, duration and place of the interview.
Once the interview has been successfully created, you can use the Copy interview details function to forward all necessary information directly to the applicant by email.
Decide whether interview participants will be required to complete evaluation forms. For scheduled interviews, all participants receive an email request to complete the evaluation form on the day of the interview. A relevant to-do is also created in their dashboard.
Choose whether interview participants will be sent an automatic reminder to complete the evaluation form and, if yes, after how many days the reminder will be sent. Optionally, create an internal note to be displayed to interview participants.
