Use Candidate Evaluation Forms

 

This article describes the different ways how evaluation forms can be used in recruiting to ensure that candidates are evaluated uniformly.

 

Use and submit evaluations

To use evaluation forms in Personio, you first need to configure and personalize them. Then you can use them when needed, in three different ways: via the candidate's evaluation tab, via a feedback request or via an interview.

 

Option 1: Candidate's Evaluation Tab

To create an evaluation in the candidate's evaluation tab, follow these steps:

  1. Navigate to Recruiting > Applications, and select the candidate's application.
  2. Go to the Evaluations tab and click New evaluation.
  3. Under Choose an evaluation form, select the appropriate evaluation form.
  4. Then complete the form and click Submit evaluation.

Reviewers will then be able to view the evaluation.

 

Option 2: Request a Review

To request feedback on a candidate in the form of an evaluation, follow these steps:

  1. Navigate to Recruiting > Applications, and select the candidate's application.
  2. Click Feedback-icon_en-us.png Request review.
  3. Select the Reviewers, and the Review type Evaluation.
  4. Under Evaluation form, select the appropriate form, and choose if you want the reviewer to receive an email reminder.
  5. Then click Send request.

After you have sent the request, the reviewers receive an email notification, as well as a new task in the to-do list on their Dashboard.

 

Option 3: Interview

To create an evaluation that should be used in an interview, follow these steps: 

  1. Navigate to Recruiting > Applications, and select the candidate's application.
  2. Go to the Interviews tab, click New interview and select the interview type from the drop-down menu.
  3. Fill in the interview details (participants, date and time, location).
  4. Under Evaluation and notes, select the appropriate Evaluation form, and choose if you want the interviewer to receive an email reminder.
  5. Click on Invite interviewers.

The participants will receive a request to submit their evaluation forms at the time of the interview.

Tip Personio saves your evaluations automatically while you work on them, and stores the data in your browser. This way you can retrieve your work in case you accidentally close the tab where the evaluation is in progress.

 

View the results

Personio displays the results of your evaluations in different sections of the recruiting area.

In the Candidate Overview, you can see a list of the evaluations in chronological order.

In the candidate's Evaluations tab, you can see:

  • The average rating and the number of positive, neutral, and negative evaluations in the Summary.
  • A list of all the evaluations, grouped by the evaluation form used. Click on each evaluation to expand it and to see the summary and rating, as well as the reviewers' key takeaways. To see the evaluation in detail, click See full evaluation.

Note Reviewers must have viewing rights for a candidate's evaluations to see them. Learn more about recruiting roles access rights.
