Consider Attendances During Absence Periods as Overtime

 

In this article, you will learn what activating the Consider attendance days during absence period as overtime function does. Specifically, we will focus on the following three effects:

  1. Treating hours worked during an absence as overtime
  2. Continued payment of salary during an absence for employees with a logged hourly salary
  3. Deduction from the attendance balance

The function Consider attendance days during absence period as overtime can be activated or deactivated separately for all absence types via Settings > Absence. Settings-Absence-Validity_Settings_en-us.png

 

Best Practice Recommendation

We recommend activating this function for all absence types that count as actual absence periods in your company (e.g. Paid vacation, Sickness, and Special leave). For absence types in which employees work, this function should be deactivated (e.g. Working from home, Business trip, and Training).

Treating Working Hours as Overtime

If the function Consider attendance days during absence period as overtime? is activated for an absence type, working hours that are tracked as part of an existing absence will automatically count as time off.

Please note that for this function, overtime must be activated in the working hour schedules. Find out here how to configure working hour schedules.

In this example, on 3 October the absence type Paid vacation is logged for the employee. The existing absence also appears in the employee profile in the Attendance tab. Because Consider attendance days during absence period as overtime is activated for this absence type, in this example, two hours would immediately be added to the overtime balance. For this reason, the following message appears when entering working hours within the absence period:

Provided that the notification is confirmed, the hours worked will appear in the overtime balance. 

 

Continued Payment of Salary During Absence in Relation to an Hourly Salary 

A further effect of the Consider attendance days during absence period as overtime? function relates to the continued payment of salary to employees with a logged hourly salary during an existing absence on a workday.

For this, the following conditions must be met:

  • The employee receives an hourly salary (e.g. students)
  • Consider attendance days during absence period as overtime must be activated for the absence type (e.g. sickness or paid vacation)
  • The absence must fall on a day which, according to the working hour schedule, is a workday

If all of these conditions are fulfilled for the day of absence, the hours according to the working hour schedule will be multiplied by the hourly salary and added to the salary of the respective month.

In this example, the sickness falls on a day logged in the working hours schedule as a workday with a duration of two hours. The employee receives an hourly salary of £18. Therefore the sick day results in the sum of £144 being automatically added to the salary overview.

Deducting From the Attendance Balance 

The attendance balance compares the working hours target with the actual hours worked and calculates a balance for the current month. Further information on the attendance balance can be found here.

Additionally, the attendance balance lists all the absences within a month, provided that the absences are real time offs. 

In this way, all the absences during a month are subtracted from the attendance balance.
