The Function of System Filters in the Application List


This article explains how to use the predefined filters in the application list. 

Predefined Filters

The application list contains an overview of all applications submitted to your account, which is available to administrators and employees with full access privileges for recruiting. This list can be accessed by clicking on the Applications tab in the recruiting section of your Personio account. 

A range of filters is available to make your work with the application list as straightforward and efficient as possible.

If a filter has been applied, the colour of the corresponding button changes to blue.


Function of Individual Filters

Filter by positions Filter

This filter allows you to filter your application list by position. The filter My job positions is selected by default unless a specific selection has been made. As a result, your view shows all applicants for positions for which you are defined as the responsible person. If you are not the defined responsible person for any positions, your default view shows all positions for which you have viewing or editing rights. You can either apply the option All or filter specifically for positions within particular recruiting categories, or for individual positions. The selection of positions shows current job vacancies by default. If you would like to include archived applications as well, activate the checkbox Include archived positions.


To-Dos Filter

The To-Dos allows you to filter specifically for applications with pending to-dos. You can select the to-do categories Unreplied messages, Failed messages or Too long in a phase to get an overview of which applications need active interventions. 


Phase Filter

Use the Phase filter to have only those applications displayed which are currently in one or several phases selected by you. Click here for more information about configuring recruiting phases. 


Flags Filter

You are able to create applicant flags in the recruiting section to add specific information to applicants, such as Internal Recommendation. The Flags filter allows you to filter for such applicant flags. Apply one or several flags. Personio then displays all applicants whose data include at least one of the selected flags. 


Channel Filter

Use the Channel filter to have only those applicants shown who submitted their applications via the specified recruiting channel. Click here for more information about creating recruiting channels. 


Anonymized & Prioritized Applicants Filter

By default, Personio shows all applications in the current application process. If you would like to include anonymized applications as well, click on the filter icon and activate the checkbox Show anonymized applicants. You also have the option of having only your prioritized applications displayed.
