The following article gives an overview of the Application Funnel Report. This report shows how applications are moving through your recruiting process.
You can access the Application Funnel Report via the sidebar under Reports > System Reports.
Functionality and Display
There are several options for customizing a system report to your requirements:
Period
Define the period under review. Only candidates whose application date is within the selected period will be included in the report.
Filters
You can add filters to narrow down your selection. Select the position and/or recruiting category for which you would like to generate an analysis.
To remove an unwanted filter, click on the blue cross on the right.
Once you have finished configuring your report, click on Apply to generate your results.
Actions Button
To export your Application Funnel Report, follow these steps:
- Click on the Actions button in the upper right corner of the window
- Select Export
Your Application Funnel Report will be exported in an Excel spreadsheet (.xlsx) by default.
To update your Application Funnel Report, follow these steps:
- Click on the Actions button to update existing system reports with the latest data
- Select Update
Depending on the size of your data set, Personio will need between 5 and 10 minutes to load all data and refresh the full report.
Understanding your results
Candidate numbers are displayed in colour-coded bar charts in the upper section of the report, followed by absolute and relative figures.
Applications are divided into the following application phases by default:
Applications | Number of applications received in the selected time frame that were in this phase. |
Proceeded | Number of applications that proceeded to a different phase. |
Rejected | Number of applications that have been rejected in this phase. |
Withdrawn | Number of applications that have been withdrawn in this phase. |
Still in Phase | Number of applications currently in this phase. |
The first table shows an example of the full application process. It starts from the number of applications received and how they move across the defined phases through the application funnel. In this case, it starts with 54 applications progressing from the screening phase until 4 of them reach the final Accepted phase.
The second table provides an additional overview of the full conversion rate for each phase. Here, the applications are also divided into the following application phases by default:

Total number of applications received. This figure represents the total from the columns Candidates, Proceeded, Rejected, Declined and Still in phase for the initial recruiting phase. |
Accepted | Total number of applications that resulted in a hire. |
Rejected | Total number of applications that were rejected. |
Withdrawn | Total number of applications that were withdrawn. |
Still in Funnel | Total number of applications currently in a recruiting phase. |
