We're rolling out new employee role and access rights settings based on your feedback, giving you greater flexibility and control over how you assign permissions within your company.
These updates are designed to make employee role and access rights management more intuitive, efficient, and aligned with your specific needs.

The automatic role assignment feature
We’ve introduced a feature that enables automatic role assignment.
Previously, granting access rights to a new employee was a manual process, involving manually adding the employee to an existing or new employee role. Here are the steps you would have followed:
- Go to Settings > Employee Roles.
- Select the employee role to which you want to add the new employee.
- In the Members tab, select the employee from the Available employees column.
- Save your changes.
- If needed, click Access Rights and add/remove the relevant access rights.
You can now streamline employee role assignments, eliminating the need to manually add new employees to roles. For example, you can automatically assign employee roles based on criteria like department, location, or other factors, ensuring consistency while reducing administrative effort. Find the steps in the next section.
The new employee roles and access rights interface
With the new interface, we’ve improved the automatic role assignment feature.
While this functionality has been available since last December, it’s now easier and faster to assign employees via a condition, as we’ve removed the need to toggle from manual to automatic.
To do so, you only need to follow these steps:
- Go to Settings > Employee Roles.
- In People, Create a new employee role or choose an existing one.
- Click Edit members.
- Click + Condition to add an attribute and automatically filter new employees who meet that criteria. For example, if you add "Office is Barcelona," new employees based in Barcelona will be automatically assigned to that role and receive its access rights. Alternatively, you can add individual employees by selecting them in Always Include or exclude employees by selecting them in Always exclude.
- Save the edits.
- If needed, click Permissions and add/remove the relevant access rights.
You can now also easily export roles and permissions in Employee Roles > Access & Permissions. This feature allows you to easily analyse or share role-related data while maintaining control over access.
